Job Description:

Dorset Healthcare is seeking an experienced Administrative Assistant for the Bournemouth Older Persons Community Mental Health Team. The role will provide secretarial, administrative and reception support, and will be fully supervised by a Team Leader.

Key Responsibilities

  • Provide efficient secretarial, administrative and reception support to the team.
  • Liaise with members of the public and a variety of professionals in primary and secondary care services.
  • Manage incoming calls and provide excellent telephone support, including dealing with distressed patients.
  • Maintain the Trust’s RIO patient record system, ensuring data protection and GDPR compliance.
  • Prepare and send clinical correspondence and dictation, manage referral paperwork and oversee onward referrals.
  • Record and transcribe minutes of meetings and arrange and attend meetings as minute‑taker.
  • Manage a busy diary, prioritise conflicting appointments and use Microsoft Office 365 to its full capacity.
  • Perform general administrative duties, including managing supplies and organising travel and meetings.

Requirements

  • Experience as an administrative assistant or secretary with a strong background in a healthcare or similar environment.
  • Proficient with Office 365 (Outlook, Word, Excel) and internet use; equivalent ECDL qualification preferred.
  • Intermediate level audio‑typing skills and ability to type accurately at RSA Level III or equivalent.
  • Strong organisational and time‑management skills, able to work under pressure and meet tight deadlines.
  • Excellent verbal and written communication, numeracy and a high standard of accuracy and attention to detail.
  • Ability to deal calmly and empathetically with difficult patients and maintain a professional demeanor.
  • Knowledge of data protection, GDPR legislation and experience maintaining patient record systems.
  • Positive, conscientious, systematic attitude with a commitment to quality frameworks.
  • Valid right to work in the UK and availability for full‑time work (5 days a week 08:30‑17:00).
  • Enhanced DBS check required (cost covered by the Trust); no visa sponsorship provided.
