Role Overview

We are seeking a highly organised and detail-oriented Payroll Administrator to join our Food-to-Go manufacturing business. The successful candidate will be responsible for the accurate and timely processing of weekly and monthly payrolls across multiple sites and jurisdictions.

This is a challenging and rewarding role requiring a self-motivated individual who can manage multiple priorities, meet strict payroll deadlines, and maintain the highest levels of accuracy and confidentiality. Key Responsibilities

Payroll Processing

  • Process weekly and monthly payrolls across multiple payrolls, sites, and legal jurisdictions.
  • Ensure payrolls are completed accurately and on time in accordance with published payroll schedules.
  • Calculate and process earnings, overtime, shift premiums, holiday pay, statutory payments, deductions, and salary adjustments.
  • Validate payroll information received from operational and departmental managers.
  • Process new starters, leavers, contract amendments, and employee data changes accurately and efficiently.
  • Prepare Bank Files for weekly & monthly payrolls
  • Maintain payroll records and employee information in accordance with company policies and legislative requirements.

Compliance & Administration

  • Ensure compliance with all relevant payroll legislation and statutory requirements across NI, GB, and RoI.
  • Administer payroll deductions including tax, National Insurance, pensions, court orders, and other authorised deductions.
  • Complete Weekly Labour KPIS
  • Complete Payroll Balance Sheet Reconciliations
  • Assist with year-end payroll activities and statutory reporting requirements.
  • Support payroll audits and provide documentation as required.
  • Maintain strict confidentiality of payroll and employee information at all times.

Query Resolution & Stakeholder Support

  • Act as a key point of contact for employee payroll queries, ensuring timely and professional resolution.
  • Build strong working relationships with site management, HR, Finance, and external agencies.
  • Liaise with government bodies, pension providers, and third-party vendors where required.
  • Ad-Hoc duties within the finance team

Continuous Improvement

  • Identify opportunities to improve payroll processes, controls, and reporting.
  • Support payroll-related projects, system enhancements, and process standardisation initiatives.
  • Maintain up-to-date knowledge of payroll legislation and industry best practices.
  • Contribute to a culture of continuous improvement, accuracy, and customer service excellence.

Person Specification

Essential Skills & Experience

  • Previous payroll administration experience in a high-volume, fast-paced environment.
  • Strong numerical skills with exceptional attention to detail and accuracy.
  • Experience managing multiple priorities and meeting strict deadlines.
  • Excellent organisational and time-management skills.
  • Strong communication and interpersonal skills.
  • Ability to work independently and use initiative while also collaborating effectively within a team.
  • Proficient in Microsoft Excel and other Microsoft Office applications.
  • High level of integrity with the ability to handle confidential information appropriately.

Desirable Skills & Experience

  • Experience processing payroll across multiple jurisdictions, particularly NI, GB, and RoI.
  • Previous experience within a manufacturing, food production, or FMCG environment.
  • Experience using Sage Payroll & Collsoft or similar payroll systems.
  • Understanding of payroll legislation, pensions, and statutory payments across UK and Irish payrolls.
