About the role
VidaCorp is seeking a highly organised and proactive Office Manager / Executive Assistant to support the Executive General Manager, Europe, while ensuring the smooth and efficient running of our European office operations. This is a pivotal, trusted role combining executive support with office and operational management. You will act as a key point of coordination between senior leadership, internal teams, and external partners, enabling the Executive GM to focus on strategic priorities while ensuring the office environment, systems, and processes operate effectively. The role will be based in London or Amsterdam, supporting the European business with occasional regional collaboration. The candidate must have right to work in the location.
Role & Responsibilities
- Provide high‑level executive support to the Executive General Manager, Europe, including diary management, meeting coordination, travel planning, and expense management.
- Act as a trusted point of contact between the Executive GM and internal/external stakeholders, ensuring clear communication and follow‑up.
- Oversee day‑to‑day office operations, ensuring a well‑functioning, organised, and professional office environment.
- Coordinate relationships with external service providers, including IT partners, office suppliers, and facilities providers.
- Manage office budgets, invoices, contracts, and renewals in collaboration with Finance.
- Support onboarding and off‑boarding processes for new team members, including coordination with IT and facilities.
- Prepare presentations, reports, and documentation for leadership meetings and business reviews.
- Support internal communications, leadership meetings, and team events where required.
- Maintain confidential records and handle sensitive information with discretion and professionalism.
- Identify opportunities to improve office processes, administrative workflows, and executive support efficiency.
- Provide ad‑hoc support to the wider leadership team as the European organisation continues to scale.
Skills & Experience
- Proven experience as an Office Manager, Executive Assistant, or similar role supporting senior leadership.
- Strong organisational skills with the ability to manage competing priorities and deadlines.
- Excellent written and verbal communication skills, with confidence interacting at executive level.
- High attention to detail and strong problem‑solving capability.
- Comfortable working autonomously while collaborating closely with leadership and cross‑functional teams.
- Experience managing external vendors, office operations, and administrative processes.
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools.
- Experience in fast‑paced, high‑growth environments preferred.
- Discretion, professionalism, and sound judgment when handling confidential information.
