THE ROLE

To deliver and project manage all logistical aspects of our events including:

  • Speaker Management: Following a hand‑over brief from the Event Producer, contact all speakers, arrange travel and manage expenses where necessary. Coordinate and collect speaker presentations pre‑conference.
  • Venue: Plan catering menus, room set‑up and AV requirements. Fulfil health & safety requirements.
  • Vendor Coordination: Ensure smooth execution, including booking, briefing and managing event suppliers such as audio visual, graphics, catering, stand builders, etc. Organise signage and all event documentation, including speaker badges.
  • Team Collaboration: Regularly monitor and liaise with Conference Producers and Sales Managers regarding guests, speakers, sponsors and other attendees to ensure alignment on expectations and deliverables.
  • Onsite delivery: Lead onsite build, ensuring quality control across all aspects including AV, venue, catering, registration. Deliver seamless events, maintaining accuracy across all elements and ensuring the event runs to time with adequate resourcing.
  • Post Event: Manage and collate event evaluations and appropriate distribution. Reconcile budgets. Update documentation where required and add supplementary documentation to websites. Create debrief report and run post‑event debrief meeting.
  • Venue Sourcing: Once RFP received, contact hotels, identify floor plan and capacity charts that will work for the event, negotiate within agreed budget parameters.

Skills & Experience

  • Event management expertise: A minimum of 4 years’ experience in planning and delivering successful events, including large‑scale events and expositions, with evidence of managing budgets and profitability.
  • Leadership capability: Has at least 12 months’ experience managing and developing a team, with a track record of motivating others to deliver high‑quality outcomes.
  • Commercial awareness: Proven ability to deliver events under budget and in profit.
  • Communication skills: Communicates clearly and persuasively in both written and verbal formats.
  • Stakeholder management: Builds strong relationships with clients, partners, and suppliers, ensuring excellent customer care throughout.
  • Technical competence: Highly proficient in Microsoft Office (Excel, Word, PowerPoint) with the ability to use event platform technology including Swoogo, Swapcard, Canva and Grip.
  • Project management: Skilled in managing multiple projects simultaneously, prioritising effectively, and meeting tight or changing deadlines.
  • Operational resilience: Brings experience working in fast‑paced, high‑pressure environments, maintaining standards and composure under pressure. Continuously reviews and improves internal processes.
  • Global perspective: Willing and able to travel internationally as required for event delivery.
