Part-Time Secretary / PA – Psychology Practice (Harley Street area) Salary £21,640 (£38k FTE)

We are seeking a highly organised, professional Part-Time Secretary / Personal Assistant to support a busy and well-established psychology practice based in the Harley Street area.

This is a varied and rewarding role combining administrative, patient-facing, and PA responsibilities. The role is part-time (20 hours per week over 4 days) and would suit someone who is detail-oriented, discreet, and confident working in a fast-paced healthcare environment.


The Role

You will play a key role in ensuring the smooth day-to-day running of the practice while providing high-level PA support.


Key Responsibilities:

  • Managing a busy appointment diary and coordinating patient bookings (Cliniko)
  • Handling phone calls, emails, and post with professionalism and strict confidentiality
  • Providing full PA support, including personal tasks, scheduling, and travel arrangements
  • Preparing reports, documents, and medical correspondence
  • Supporting bookkeeping tasks, including invoicing, payments, and expense tracking (Xero, Stripe, Hubdoc)
  • Maintaining accurate patient records and managing referrals
  • Managing inbound patient enquiries with an excellent telephone manner
  • Organising files, systems, and office supplies
  • Assisting with general practice and office management duties
  • Liaising with external professionals such as accountants and medical contacts
  • Hours ideally Monday – Thursday 9-2pm or Tuesday – Friday 9-2pm


About You

  • Previous experience as a Secretary, PA, or Administrator (essential), ideally within healthcare
  • Highly organised with strong multitasking and prioritisation skills
  • Excellent attention to detail and accuracy
  • Confident user of Microsoft Office, general IT systems, and AI tools
  • Experience with Cliniko (desirable)
  • Strong communication skills and professional phone manner
  • Able to handle confidential and sensitive information with discretion
