Job Overview

This role is Business Support Lead for Campus Services at the University of Sheffield, responsible for managing administrative functions of Print & Creative Services, supporting business, financial, procurement, HR and recruitment activities within the department.

Main Duties & Responsibilities

  • Manage Print & Creative Services (PCS) internal and external income streams, identify areas for improvement.
  • Create and manage PCS financial and business reports using SAP and the PCS Management Information System.
  • Monitor and review PCS financial and business intelligence, making suggestions to improve processes.
  • Handle out‑of‑hours staffing requests, resource quoting via Plan‑On, maintain rosters and resource planning spreadsheets.
  • Process departmental overtime payments directly into the University payroll system.
  • Approve and goods receive orders in the absence of the Print Operational Manager and Business Operations Manager.
  • Deputise for the Business Operations Manager in overseeing the department’s recruitment processes, where required.
  • Manage and review PCS customer feedback, present findings at monthly Team Lead and Staff Meetings.
  • Maintain the PCS Integrated Management System (IMS) and PCS Toolbox, ensuring documents are reviewed and updated.
  • Complete projects directed by the Print Operations Manager and Business Operations Manager within agreed timelines and quality standards.
  • Maintain PCS supplier information packs ensuring contracts meet requirements.
  • Oversee Arts Tower reception, ensuring smooth day‑to‑day operations.
  • Liaise with university contacts to highlight financial process issues, facilitate good‑practice implementation.
  • Coordinate with the Finance Department and adhere to University Financial Regulations.
  • Demonstrate commitment to the Sheffield Professional Framework and promote ethical decisions & sustainability strategy.
  • Carry out other duties commensurate with the grade and remit of the post.

Person Specification / Qualifications

Essential:

  • Proven experience in a financial/administrative role with skills in corporate IT systems such as SAP, Microsoft and Google platforms.
  • Ability to process routine and complex data, confidently making recommendations for management information.
  • Strong analytical and pattern‑recognition skills, ability to resolve numerical problems.
  • Ability to manage personal workload and conflicting priorities.
  • Enthusiastic and proactive attitude, experience improving and developing business processes.
  • Ability to interpret and communicate business and financial information clearly.
  • Excellent written and verbal communication skills, communicating at all levels.
  • Aware of when additional support is required and deciding upon appropriate action.
  • Strong customer‑service skills, building strong working relationships.
  • Ability to manage multiple projects and tasks with conflicting priorities while maintaining accuracy and attention to detail.
  • Experience using a Management Information System such as Tharstern (or similar).
  • Experience coordinating HR, payroll and recruitment process activities.

Salary and Benefits

Salary: £27,319 to £31,236 per annum, with potential to progress to £33,951 through sustained exceptional contribution.
