We’re seeking a highly organised and proactive project coordinator to support the successful delivery of multiple projects from initiation through to completion. This role is ideal for someone who thrives in a fast‑paced environment, enjoys managing competing priorities, and takes pride in ensuring projects run smoothly, on time, and within compliance requirements.

Working closely with contract/project managers and senior stakeholders, you will play a key role in coordinating project activities, maintaining accurate documentation, and ensuring effective communication across internal teams and external partners.

What you’ll need

  • Minimum GCSE Grade C (or equivalent) in English and Maths
  • Strong organisational skills with the ability to manage multiple priorities
  • High attention to detail, particularly with documentation and compliance
  • Excellent communication skills, both written and verbal
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Experience in a project coordination, administration, or support role
  • Experience with document control systems (e.g. Procore or similar) – not essential but desirable
  • Ideally, you’ll have a background in construction, facilities management, healthcare, or engineering environments
  • Knowledge of safe accounting software a bonus
  • Understanding of compliance frameworks (ISO, CHAS, etc.)

What you’ll be doing

Project Coordination & Administration

  • Support end‑to‑end project delivery across multiple workstreams
  • Maintain project plans, trackers, and documentation to ensure accuracy and visibility
  • Coordinate project schedules, milestones, and deadlines
  • Prepare reports, presentations, and project updates for stakeholders

Document Control & Compliance

  • Manage document control systems, ensuring all records are up to date and compliant
  • Compile and distribute project documentation packs
  • Maintain registers for contracts, compliance and project documentation
  • Ensure all health & safety and regulatory documentation (e.g. RAMS and construction phase plans) are in place

Stakeholder & contractor coordination

  • Liaise with contractors, suppliers and internal teams to ensure alignment on project requirements
  • Support procurement processes, including gathering quotes and reviewing submissions
  • Coordinate meetings, including scheduling, minute taking and action tracking

Project monitoring & reporting

  • Track project progress, risks, and key deliverables
  • Assist in monitoring budgets and project costs
  • Escalate issues where necessary to ensure timely resolution

Operational support

  • Provide administrative support to project teams
  • Assist with audits, accreditations, and compliance activities
  • Support general office and operational coordination as required
