Overview
We are seeking an Asset Management Co-ordinator to support the Asset Management department across a growing commercial property portfolio. This is a hybrid role combining elements of executive support and property coordination. The successful candidate will play a key role in managing the day-to-day workload across the portfolio. The role is suited to someone highly organised, proactive, and comfortable taking ownership of tasks. This role offers broad exposure across a varied commercial property portfolio and the opportunity to work closely with senior leadership.
Responsibilities
- Maintain asset trackers (tenancies, lease events, vacancies).
- Track key dates including lease expiries, rent reviews, and breaks.
- Liaise with managing agents to gather updates and information
- Coordinate follow-ups on arrears, tenant queries, and operational matters.
- Assist with service charge tracking and general cost oversight.
- Maintain compliance records.
- Act as a central point of coordination across multiple assets.
- Manage inbox actions, follow-ups, and task tracking.
- Prepare briefing notes, summaries, and reports for meetings.
- Coordinate meetings with agents, consultants, and internal stakeholders.
- Ensure actions are followed through and closed out.
- Assist in tracking ongoing works and capex items.
- Support lettings by liaising with agents and maintaining marketing info.
- Undertake ad hoc research, data gathering, and problem-solving tasks.
Skills and Qualifications
- Highly organised with strong attention to detail.
- Strong Excel and general admin capability.
- Excellent communication and follow-up skills.
- Ability to manage multiple moving parts simultaneously.
- Comfortable working in a fast-paced environment.
- Exposure to commercial property or real estate.
- Experience in an EA, coordinator, or operations role.
- Understanding of property terminology
