Project Manager, Global Medical Operations
The Project Manager, Global Medical Operations is a strategic operations and delivery lead for ViiV Global Medical. The role is accountable for program/project governance, cross‑functional alignment, proactive risk and issue management, and enabling team ways of working—while also overseeing a defined portfolio of operational activities to ensure compliant, timely, and high‑quality execution.
Team Support and Project Management (60%)
- Lead end‑to‑end planning and delivery for a portfolio of Global Medical Operations initiatives, establishing clear scope, milestones, dependencies, and success measures.
- Establish and run governance rhythms (operating cadence, dashboards, decision logs, action tracking) to drive transparency, accountability, and timely decision‑making.
- Partner with functional leaders to translate strategy into integrated execution plans across evidence generation, scientific communications, grants, and congress/conference deliverables.
- Drive cross‑functional alignment with internal and external stakeholders, resolving resource conflicts and removing execution barriers to keep work on track.
- Own proactive risk, issue, and change management; anticipate downstream impacts, elevate as needed, and implement mitigation plans.
- Champion continuous improvement by designing, standardizing, and scaling SOPs, templates, and best practices that increase quality, speed, and compliance.
- Enable high‑performing teams by coaching consistent ways of working (intake, prioritization, roles/RACI, meeting discipline) and ensuring stakeholders have clear guidance and support.
- Represent Global Medical Operations on cross‑enterprise working groups, synthesizing decisions and translating outcomes into actionable communications for the broader team.
- Create and maintain executive‑ready reporting (status, KPI/OKR progress, budget snapshots, compliance indicators) to inform leadership and support portfolio decisions.
- Coordinate planning and financial forecasting across Scientific Communications, Grants, and Conference Sponsorships, ensuring funding needs, timing, and approvals are aligned to the delivery plan.
- Lead vendor and partner coordination for priority workstreams, defining deliverables and service expectations, tracking performance, and ensuring on‑time, in‑scope execution.
Day‑to‑Day Operational Tasks (40%)
- Provide operational oversight for Global Grants and Donations and Congress/Conference programs, ensuring compliant execution, clear documentation, and timely stakeholder support.
- Own core compliance and audit readiness activities (e.g., Management Monitoring, ABAC due diligence/corporate security coordination, and Transfer of Value validation/reporting) to maintain inspection‑ready operations.
- Maintain accurate, complete, and accessible records across required systems and repositories (e.g., Datavision/Envision, ViSiONS, GLASSES, and Teams sites), including archiving of electronic study files and operational artifacts.
- Manage operational execution support for events and vendors (registration/logistics coordination), and administer contracts, change orders, and payment processing—troubleshooting issues with Finance/Procurement to ensure uninterrupted delivery.
Basic Qualifications
- Bachelor’s Degree in Science, Nursing, or Medical.
- 5+ years of clinical study support experience in a clinical development organization.
- Experience in Project Management.
- Experience working with Microsoft Office Suite.
- Experience in project management and organizational skills.
- Experience preparing and delivering written and verbal communications in a professional setting.
- Experience working with systems such as Veeva, Apollo, Cvent, GLASSES, Content Lab, ideaPoint, and iEnvision.
- Experience working for Digital and Artificial Intelligence (AI).
- Experience with budget management, contracts, and payment processing.
- Experience working cross‑functionally.
Preferred Qualifications
- Master’s Degree in Clinical Research or equivalent experience.
