About The Role

As part of the establishment and structuring of a subsidiary in London, we are looking for an autonomous and versatile Office Manager, capable of managing day‑to‑day operations while playing an active role in talent sourcing, qualification, and coordination. This position is intended for a hands‑on, pragmatic, solution‑oriented professional, comfortable in startup / scale‑up environments, and able to take initiative and operate with a high level of autonomy.

Key Responsibilities

  • Office Management & Executive Support
    • Day‑to‑day management of the office (service providers, suppliers, facilities, equipment)
    • Administrative follow‑up: insurance policies, subscriptions, contracts, basic invoicing
    • Logistical organisation of meetings, business travel, and visits
    • Direct operational support to senior management: agenda management, prioritisation, action tracking
    • Overall, to ensure smooth, efficient, and frictionless day‑to‑day operations.
  • Talent Scouting
    • Proactive identification of target profiles (LinkedIn, networks, referrals, direct sourcing) working as part of and coordinating with CTS’s HR Organisation, specifically the recruitment team
    • First contact with candidates: outreach, screening, relevance assessment
    • Organisation and coordination of interviews
    • Candidate follow‑up and candidate experience management
    • Overall objective is to attract top talent in close coordination with the Group’s recruitment team.
  • HR Administration (Operational)
    • Administrative management of onboarding and offboarding (contracts, documentation, checklists)
    • Interface with HR service providers (payroll, benefits, insurance)
    • Monitoring of absences, leave, and basic HR data
    • Implementation of pragmatic HR practices adapted to a growing organisation
  • Structuring & Continuous Improvement
    • Implementation of simple and effective tools (processes, templates, tracking dashboards)
    • Identification of inefficiencies and proposal of concrete solutions
    • Active contribution to the organisation’s scale‑up and operational maturity

Required Skills And Experience

  • Proven experience in office management within a startup / SME / entrepreneurial environment
  • Very high level of ownership and also the ability to work very collaboratively with other officer managers and administrators (this is critical)
  • Proven experience sourcing
  • Experience in HR administration
  • Ability to prioritise and manage multiple topics simultaneously
  • Excellent interpersonal and communication skills (internal, external, candidates)
  • Fluent‑level English required
  • Strong attention to detail and high execution standards
  • Discretion
