Job Overview

We are looking to appoint a capable and enthusiastic Clerk to the Governing Body of St Francis Catholic Primary School based in Maldon, Essex.

Applicants must be efficient, excellent administrators and have strong communication skills to support the Governors and the Headteacher. The post is a part‑time position, covering meetings of the Full Governing Body and sub committees. This equates to three hours per week across 38 school weeks totalling 114 hours per year.

Meetings are held during term time and, with the exception of Full Governing Body meetings (one per term) which are attended in person, sub‑committee meetings are held online. This position lends itself to home working, with meetings typically taking place in late afternoon. The job entails the preparation of agendas and papers for meetings, responsibility for generation and distribution of minutes, advising on legal procedures, dealing with correspondence for governors when necessary and acting as custodian of records.

Apart from attendance at the Governors’ meetings, hours are very flexible.

To help the successful candidate fulfil their role, the Clerk will also be expected to attend some initial training and attend termly briefings. Good IT skills will be necessary as the majority of work is now paperless. Please refer to the job description and person specification for a full list of duties.

Responsibilities

  • Prepare agendas and papers for meetings.
  • Generate and distribute minutes.

  • Handle correspondence for governors.
  • Act as custodian of records.
  • Attend all Full Governing Body meetings in person and sub‑committee meetings online.
  • Participate in initial training and termly briefings.

Qualifications

  • Excellent oral and written skills with an eye for detail.
  • A sound knowledge of administrative work and related systems.
  • Ability to communicate well and develop effective working relationships.
  • Ability to maintain confidentiality at all times and prevent disclosure of confidential and/or sensitive information.
  • Excellent personal organisational and time management skills.
  • Ability to manage conflicting work pressures and organise priorities.
  • Experience of maintaining administrative systems and a competent user of Microsoft Office.
  • An enthusiasm for continued professional development and a desire to develop appropriate knowledge of the legal framework relating to the governance of schools and current developments in education.
  • Some experience of working in this field is desirable but consideration will be given to candidates able to demonstrate the appropriate skills.
  • The successful candidate will be willing to undertake training in this area.
