Job Description:

To provide a range of clerical & receptionist support services and general office duties to the Dermatology department teams by ensuring that case notes are complete with relevant documentation and investigation/test results.

This is a fixed‑term secondment due to time‑limited funding. The role requires close liaison with patients, relatives, carers, wards, and health‑care providers to maintain high‑standard service and effective communication.

Responsibilities

  • Act as the focal point for the reception of patients, relatives and carers, ensuring a high standard of service is maintained at all times.
  • Maintain effective liaison with the relevant wards and departments within the hospital and with patients and other healthcare providers associated with the Consultant’s team to ensure a prompt and effective communication system.
  • Assist in the upkeep of departmental clinical information and general filing of correspondence.
  • Deal with queries in a timely manner via the telephone or face‑to‑face, escalating as appropriate.
  • Request investigations and test results identified at the last attendance or on referral letters and flag missing items to clinic receptionists.
  • Include appropriate clinic outcome forms to record the outcome of the consultation (e.g., added to waiting list, discharged, etc.) by clinic reception staff.
  • Responsible for regular case‑note maintenance and accurate filing.
  • Responsible for monitoring and selecting future waiting‑list patients.
  • Have an understanding of the 18‑week RTT process and a knowledge of the Trust Patient Access Policy; agree to adhere to these policies in accordance with national Trust guidelines.
  • Work to strict Trust and Government policies regarding waiting‑list management and the 18‑week guideline.
  • Ensure patients are contacted regarding offers of appointment dates and times.
