Purpose of the role
The role involves supporting student engagement and retention, as well as regulatory compliance, by maintaining accurate attendance and student status records, identifying students at risk through attendance monitoring, and contributing to timely interventions. The postholder plays a key role in ensuring the integrity of data for internal reporting and external returns (including requirements of the Student Loans Company), and in supporting academic and professional services staff in upholding high standards of attendance record management.
Main Duties and Responsibilities
- Monitoring and processing attendance records across programmes
- Assisting with data quality checks and reporting in relation to attendance, withdrawals, and enrolment
- Processing student withdrawals, interruptions of study, and transfers in line with institutional procedures
- Supporting the Attendance and Intervention Lead to ensure attendance data and student records are accurate and reflect the current student population
- Assisting with the reporting of attendance and registration data confirmed to the Student Loans Company (SLC)
- Liaising with the timetabling team and academic staff to ensure attendance records are accurately collected, processed, and uploaded into Staff Advantage (or relevant student records system), maintaining up-to-date student engagement data
- Supporting the coordination and tracking of early intervention processes for students at risk of disengagement
- Maintaining accurate documentation of attendance-related communications and actions taken
- Contributing to internal audits of attendance and engagement data
- Supporting compliance with UKVI attendance monitoring requirements (where applicable)
- Assisting in the preparation of reports for internal committees and external bodies relating to attendance, retention, and engagement
- Working closely with Student Services and Academic teams to ensure consistent application of attendance policies
- Providing guidance to academic staff on attendance recording processes and deadlines
- Supporting enrolment and induction periods with attendance system setup and student status checks
- Contributing to the continuous improvement of attendance monitoring processes and systems
- Ensuring all work is carried out in line with data protection legislation and institutional policies on confidentiality
