Office Manager – EMI Consulting Ltd

London (Full-Time, On-Site)

About EMI Consulting

EMI Consulting is a fast-growing multidisciplinary consultancy specialising in structural engineering, architectural design, building regulations, and party wall matters across residential and commercial projects throughout London and the UK.

We work on a wide variety of projects ranging from house extensions and structural alterations to complex multi-unit developments, supporting clients from early design through to construction.

We are looking for a highly organised, proactive, and hands-on Office Manager to help support the day-to-day operations of the business and keep projects, communication, and administration running efficiently.

This is not a passive administrative role. We are looking for someone who takes ownership, solves problems, stays ahead of tasks, and helps reduce operational pressure across the business.

The Role

This is a full-time, fully onsite position based in London.

You will work closely with the Director, engineers, architects, surveyors, contractors, and clients, helping coordinate the day-to-day running of a busy consultancy environment.

The role includes a mixture of:

  • office management,
  • administration,
  • project coordination,
  • invoicing follow-ups,
  • scheduling,
  • client communication,
  • and operational support.

No two days are the same, so the ideal candidate must be adaptable, organised, and comfortable managing multiple priorities at once.

Responsibilities

  • Managing the day-to-day operations of the office
  • Coordinating meetings, site visits, and schedules
  • Acting as a first point of contact for clients and consultants
  • Supporting project coordination across multiple live jobs
  • Chasing outstanding information internally and externally
  • Assisting with invoicing and payment follow-ups
  • Organising project folders, reports, drawings, and documentation
  • Maintaining office systems and improving internal processes
  • Liaising with contractors, suppliers, and external consultants
  • Supporting the Director and wider technical team with operational tasks

Ideal Candidate

We are looking for someone who:

  • Is highly organised and detail-oriented
  • Communicates confidently and professionally
  • Is proactive and able to take ownership of tasks
  • Works well in a fast-paced environment
  • Is comfortable handling multiple deadlines and priorities
  • Can think ahead and solve problems independently
  • Is reliable, adaptable, and hands-on

Experience within:

  • engineering,
  • construction,
  • architecture,
  • property,
  • consultancy,
  • or professional services

would be highly beneficial.

Experience with invoicing, document control, project coordination (Monday.com), QuickBooks/Xero, and Microsoft Office is preferred.

Important

  • This is a fully onsite role based in London, therefore candidates must be comfortable commuting into London 5 days per week.
