ROLE OVERVIEW

The key priority for this role will focus on the day-to-day management and smooth delivery of multiple client projects across brand experience, strategy, advocacy, and events, ensuring timelines, budgets and communications are kept on track.

In this role, you will manage the operational running of key client accounts, acting as a key point of contact for clients and internal teams while supporting senior leads in delivering campaigns, toolkits,, events and advocacy activity to a high standard.

 

You will primarily be reporting to the Associate Director (Leila Ghazai) and the Client Director (Steve Sandom)

 

The role will be primarily office-based at Sweet&Chilli’s HQ (8 Holyrood St, London SE1 2EL) and there will also be a significant amount of time spent on site at events, site visits and client meetings.

PERSONAL COMPETENCIES & REQUIREMENTS

 

Experience

  • 3+ years proven success in creative/marketing agencies delivering campaigns, experiential marketing, and events
  • Management of multiple deadlines and fast-moving projects
  • Familiarity with creative agencies and live event workflows
  • Background in drinks brands, hospitality or lifestyle marketing

 

Skills & Attributes

  • Passion for the events and hospitality world!
  • Highly organised with strong attention to detail
  • Calm under pressure, with a practical approach to solving problems
  • Clear and professional communicator
  • Numerate and confident managing project budgets, quotes and reconciliations
  • Strong IT skills – Office 365, Excel, SharePoint, and cloud-based file systems. Scoro or other project management tools experience is a plus.

 

KEY RESPONSIBILITIES

 

Client & Project Management

  • Day-to-day management of client projects across strategy, advocacy, and brand experience activity
  • Act as a key point of contact for client communications, responding to requests and coordinating information in a timely and professional manner
  • Prepare agendas, host status calls, take meeting notes and track actions for client and internal meetings
  • Manage project timelines, trackers and critical paths to ensure deadlines are met 
  • Assist with the preparation of reports, presentations and post-activity summaries 
  • Maintain clear project documentation including briefs, schedules, contact lists and folder structures

 

Team & Workflow Coordination

  • Coordinate internal workflow across creative, production and client teams
  • Set up internal meetings, share actions and follow up on next steps
  • Ensure all stakeholders have the information needed to deliver their part of the project
  • Work collaboratively with international teams, partners and suppliers where required
  • Support a positive and organised team environment across busy projects

 

Budget & Financial Administration

  • Support scope of work creation and ongoing budget tracking across projects
  • Track costs and liaise with accounts to ensure invoicing is accurate and up to date
  • Monitor project spend and flag any risks or changes to the senior team
  • Assist with financial administration relating to freelancers, suppliers and partner costs
  • Support reporting and reconciliation at the end of projects

 

Reporting & Programme Support

  • Support the compilation of regular client reports
  • Gather information from teams, partners and suppliers to ensure reporting is accurate
  • Assist with maintaining trackers for advocacy, festival and hospitality programmes
  • Help coordinate partner communications where required (operators, venues, suppliers, freelancers etc.)

This is a freelance contract role running from 1st May 2026 – 31st October 2026, operating outside IR35.
