Key Responsibilities

Recruitment & Talent Acquisition

  • Manage full-cycle recruitment for clinical and non-clinical roles including aesthetic doctors, consultants and therapists.
  • Draft and post job advertisements on relevant platforms (Jobstreet, Facebook, MyCareersFuture, etc.).
  • Screen resumes, conduct phone screenings, and coordinate interview schedules with hiring managers.
  • Manage offer negotiations, reference checks, and pre-employment medical requirements.
  • Design and deliver structured onboarding programmes to ensure smooth integration of new hires.
  • Build and maintain a candidate pipeline and employer branding initiatives.

Payroll & Benefits Administration

  • Process accurate monthly payrolls for all employees in compliance with Singapore’s Employment Act and MOM regulations.
  • Manage CPF contributions, NS make‑up pay, Government-Paid Leave (GPL) claims, and IR8A filings.
  • Administer employee benefits including medical insurance, annual leave, hospitalization leave, and clinic staff perks.
  • Handle statutory submissions: CPF, SDL, FWL, and IR21 for foreign employees.
  • Maintain payroll records and respond to employee pay‑related queries in a timely manner.
  • Liaise with the payroll system vendor and external auditors as necessary.

Employee Relations & Engagement

  • Serve as the first point of contact for employee queries, grievances, and workplace concerns.
  • Facilitate conflict resolution and advise managers on disciplinary procedures in line with Employment Act requirements.
  • Support performance management cycles including goal‑setting, mid‑year check‑ins, and annual appraisals.
  • Organize employee engagement activities, staff appreciation events, and wellness initiatives.
  • Maintain an up‑to‑date HR handbook and communicate policy changes clearly to all staff.
  • Promote a positive, inclusive clinic culture aligned with our company values.

HR Analytics & KPI Tracking

  • Design and maintain HR dashboards tracking key metrics: headcount, turnover rate, time‑to‑fill, absenteeism, and training hours.
  • Prepare monthly and quarterly HR reports for management review.
  • Identify trends and provide data‑driven recommendations to improve retention and workforce planning.
  • Support annual HR budgeting and manpower cost forecasting.
  • Ensure HRIS data accuracy and drive continuous improvement of HR systems and processes.

General HR Operations

  • Maintain accurate and confidential employee records in compliance with PDPA.
  • Process Employment Pass (EP), and Work Permit applications, renewals, and cancellations via MOM’s EP Online / WPOL portals.
  • Liaise with MOM on work pass queries, appeals, and compliance matters.
  • Ensure compliance with MOM regulations, tripartite guidelines, and clinic‑specific licensing requirements.
  • Support audit readiness and handle MOM inspections or queries.
  • Assist with ad‑hoc HR projects and any other duties assigned by management.

Requirements

  • Diploma/Bachelor’s Degree in Human Resources Management, Business Administration, or a related field.
  • Professional HR certification (e.g., IHRP-CP) is an advantage.
  • A minimum of 2 years of progressive HR experience, preferably in healthcare, aesthetics or services.
  • Strong knowledge of Singapore Employment Act, MOM regulations, CPF, and tripartite guidelines.
  • Hands‑on experience with Info-Tech System (HRMS) is required.
  • Comfortable with HRIS systems and Microsoft Office / Google Workspace.
  • Excellent interpersonal and communication skills — able to engage with both clinical and non‑clinical staff.
  • High level of discretion and ability to handle sensitive employee information.
  • Analytical mindset with the ability to translate HR data into actionable insights.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
