Job Overview

Experienced medical secretary needed to join the Gastroenterology Team at LUHFT. The role requires a highly organised professional who can plan workload, work on own initiative and comply with strict guidelines, both independently and as part of the wider team. A key part of the job is to support consultants and speciality teams by delivering a comprehensive secretarial service.

Responsibilities

  • Diary management and keeping it up to date.
  • Arrange appointments, travel and accommodation for consultants and staff.
  • Transcribe (audio typing) letters on behalf of the clinical team and arrange appropriate follow‑up.
  • Create, reduce and cancel clinic templates on behalf of clinicians.
  • Liaise with service users (patients, GPs, other trusts) via telephone and email, relay messages to clinicians and respond to queries in a timely manner.
  • Manage and maintain 18‑week pathways, including tertiary referrals to external trusts, and ensure accurate recording in the PAS system.
  • Check that referrals are reviewed promptly and that follow‑up appointments are arranged in conjunction with the Referral to Treat (RTT) patient pathway.
  • Operate an effective bring‑forward system and filing system.
  • Support consultants in non‑clinical activities such as preparing presentation documents, arranging meetings, setting and circulating agendas, and taking minutes.
  • Inform appropriate personnel of consultant annual leave, study leave, and junior doctor leave where it may affect service delivery.
  • Organise and maintain consultants’ admissions, cancel or add patients to waiting lists, liaise with the waiting list office, anaesthetic department and ward, and complete or amend theatre lists.
  • Type dictations from audio transcription, draft discharge summaries, and maintain an effective track on inpatient referrals.
  • Cover for colleagues during absences and act as a team player to support the wider team.
  • Perform other general administration duties relevant to the role.
