Executive Officer (Reports to: School Principal) – Responsible for up to 5 staff.
Responsibilities
- Organise and manage the school office and staff, providing administrative, clerical, and secretarial support to the Principal, school staff, and Board of Governors.
- Supervise staff, manage duties, plan and coordinate work, and address discipline and welfare issues.
- Identify and deliver on‑job training to staff.
- Maintain manual and computerised information systems for pupils, staff, budgets, meals, maintenance, examinations, care, medical services, recruitment, transport, etc.
- Complete and submit all required returns and records.
- Contact relevant personnel to receive and provide information.
- Oversee requisitioning procedures, including ordering, purchasing, receiving, checking, storing, and distributing resources, and perform stock control.
- Maintain equipment in association with other school and Board staff.
- Receive, account for, and bank cash, maintaining banking records.
- Operate telephone switchboard, receive visitors, and provide hospitality.
- Provide word processing, typing, filing, duplication, photocopying, and use of e‑mail, intranet, and internet facilities.
- Sort, screen, and distribute all mail; secure storage of valuable items and confidential documentation.
- Draft correspondence, manage guest lists, issue invitations, prepare tickets and programmes for school functions.
- Maintain diaries, arrange appointments, meetings, and provide secretarial service for all school staff.
- Communicate with external professional agencies for information and support.
- Keep staff, pupils, and parents informed of school activities.
- Prepare minutes of service meetings.
- Assist work placement students with practical tasks and assignments where appropriate.
- Carry out any other duties of a similar nature and appropriate to the grade.
Qualifications and Experience
Education: NVQ Level 3 or BTEC National (or equivalent or higher) in Business/Administration or Finance, or:
- At least three years in an administrative role in an office environment.
Experience: Minimum two years of demonstrable experience in an office administrative role, or:
- At least one year of demonstrable experience in staff management and supervision.
- Demonstrable experience in purchasing and supplies administration.
Additional: Minimum one year experience in a school environment (desirable).
Skills and Abilities
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook.
- Effective planning and organisational skills; ability to work under pressure and meet deadlines.
- Customer focused approach.
- People management and team motivation.
- Sound interpersonal and communication skills.
- Understanding of Executive Officer responsibilities and general office administrative processes.
- Ability to demonstrate values and ethos of the school.
