The Role

The Studio Manager / Personal Assistant will act as the organisational backbone of the studio. Balancing operational oversight with personal assistant responsibilities, the role requires someone who is exceptionally organised, detail-oriented and confident managing multiple priorities within a dynamic creative environment.

This position suits an individual who enjoys working closely with a small, collaborative team and who takes pride in creating a well-run and highly professional studio environment.

Client & Meeting Coordination

  • Coordinate client meetings, internal meetings and appointments.
  • Prepare meeting spaces for presentations, ensuring all equipment and materials are ready and functioning smoothly.
  • Welcome clients and guests to the studio, ensuring a professional and hospitable experience.
  • Arrange refreshments for meetings and ensure rooms are reset and presented to a high standard afterwards.
  • Assist with preparation for client presentations, including printing, binding and packaging samples for meetings.

Studio Administration

  • Manage calendars, correspondence and general studio administration.
  • Maintain organised digital and physical filing systems.
  • Assist with preparation of presentations, reports and documentation where required.
  • Coordinate studio travel arrangements, itineraries and bookings when necessary.
  • Support internal communication and coordination across the design team.

Inventory & Sample Management

  • Manage studio inventory systems, including Sortly, ensuring stock records remain accurate and up to date.
  • Maintain oversight of PMI stock, working closely with the FF&E team to photograph, catalogue, label and record items.
  • Ensure all inventory information, descriptions and specifications are correctly documented within the studio database.
  • Act as the point of contact for sending and receiving samples and materials, coordinating with the relevant designers.

Project & Supplier Coordination

  • Monitor auction purchases from acquisition through to delivery, ensuring details are accurately recorded in the studio database.
  • Respond to bespoke furniture enquiries and coordinate with the relevant designer overseeing the project.
  • Maintain strong relationships with suppliers, couriers and external collaborators.
  • Assist with organising lunch and learn sessions, liaising with senior designers to identify appropriate suppliers.

Personal Assistant Support

  • Provide comprehensive personal and administrative support to the principal.
  • Manage personal appointments, schedules and errands.
  • Coordinate domestic and international travel arrangements and holiday planning.
  • Organise personal events, gifting and social engagements.
