Job Title: Project Manager (Airtable)

Key Responsibilities
- Design and build Airtable bases purpose-built for the workflows of photo, video, and art buying teams within the Product, Design and Marketing org – translating project requirements and team feedback into clear, well-organised bases that are practical and easy to use day to day.
- Work closely with photo, video, and art buying teams to understand how they work, what slows them down, and where Airtable can bring structure, visibility, and efficiency to their production processes.
- Manage the ongoing development and iteration of Airtable bases across the team – prioritising requests, coordinating feedback, and ensuring bases evolve in step with the team’s changing needs and project demands.
- Act as the go-to Airtable expert within the team – confidently guiding teams on how to get the most out of their bases, views, automations, and reporting tools without overcomplicating the experience for creative users.
- Set up and maintain Airtable automations that remove repetitive manual tasks from photo, video, and art buying workflows — such as status updates, notifications, scheduling triggers, and asset tracking.
- Leverage AI tools actively and thoughtfully to accelerate the building and refinement of Airtable solutions — using AI to help generate automations, troubleshoot logic, explore smarter ways to structure data, and rapidly prototype new features in response to team needs.
- Stay curious and current about how AI capabilities can enhance the way teams work – bringing ideas and recommendations for where AI-assisted tools or integrations could meaningfully improve creative production workflows.
- Build and manage reporting views and dashboards within Airtable to give leads clear visibility across production pipelines, asset delivery, supplier activity, and team capacity across photo, video, and art buying.
- Maintain clear, up-to-date documentation and training materials so that photo, video, and art buying teams can navigate their Airtable tools with confidence and new team members can get up to speed quickly.
- Communicate proactively with leads and Engineering Project Managers to ensure bases reflect live project information accurately, and that any issues or changes are flagged and resolved with minimal disruption to active productions.
Required Skills & Qualifications
We’re looking for candidates who bring most of the following:
- Airtable expertise: Demonstrable, hands-on experience building and managing Airtable bases – including interface design, views, automations, and reporting. This is the core of the role and the most important capability.
- Creative production knowledge: A strong understanding of how photo, video, and art buying teams operate – including production lifecycles, asset workflows, supplier coordination, and the pace and pressure of creative project management.
- Project management: Proven ability to manage multiple workstreams simultaneously, prioritise effectively, and keep projects moving in a fast-paced, creative environment.
- Workflow thinking: Experience identifying where manual processes can be replaced with smarter, automated solutions – and the confidence to build those solutions within Airtable or connected tools.
- AI fluency: Comfortable using AI tools in day-to-day work — whether using them to help build and refine Airtable automations, troubleshoot problems, generate ideas, or find faster ways to deliver what the team needs. A genuine curiosity about how AI can improve creative workflows is just as important as technical know-how.
- Communication: Excellent written and verbal communication skills, with the ability to listen carefully to creative teams, understand what they actually need, and translate that into practical Airtable solutions — without defaulting to overly technical language.
- Stakeholder collaboration: Comfortable working across different teams and seniority levels – gathering requirements, managing expectations, and keeping the right people informed at the right time.
- Attention to detail: A commitment to building bases that are clean, logical, and built to last – with naming conventions, documentation, and structure that make life easier for everyone who uses them.
Preferred Skills
The following are desirable but not essential. Having some of these would be a bonus:
- Familiarity with automation platforms such as Make (formerly Integromat) or Zapier for connecting Airtable with other tools and systems.
- Previous experience working within a large-scale creative, media, or technology organisation – either in-house or in a vendor or contractor capacity.
- Experience supporting or training non-technical teams on new tools and workflows.
- An understanding of how photo production, video shoots, or art buying processes are managed from brief through to delivery.
- Familiarity with project management approaches such as Agile, and the ability to apply the right level of structure to the right type of project.
