About the role
This role combines structured administrative support with practical, hands-on office coordination for the Engineering and Product teams.
You will act as the operational anchor for Engineering – providing proactive PA support, maintaining documentation and systems discipline, and ensuring follow-through across meetings and projects. Alongside this, you will provide reliable in-office support to keep product samples, deliveries, and practical tasks running smoothly.
This is a hybrid role requiring regular physical presence at our London HQ. While a technical background would be advantageous, it is not essential. What matters most is exceptional attention to detail, process discipline, reliability, and a willingness to step in wherever needed.
Key Responsibilities
- Provide proactive PA support to the Head of Engineering and wider Engineering team
- Coordinate diaries, meetings, agendas, actions and minutes
- Track actions and follow-ups to ensure accountability and closure
- Administer and maintain technical construction files to audit-ready standards
- Own and maintain Jira and Confluence structure, hygiene and reporting
- Ensure documentation is consistently structured, version-controlled and accessible
- Manage engineering expenses, timesheets and travel arrangements
- Support compliance documentation and R&D tax claim preparation
- Identify process improvements that enhance team efficiency and clarity
Hands-On Office & Product Support
- Receive, unpack and log incoming product samples and deliveries
- Prepare and package products for internal review or shipment
- Coordinate shipments and ensure courier deadlines are met
- Label, track and store samples accurately
- Maintain clear records of product movement and location
- Keep sample and storage areas organised and usable
- Assist with setting up products for listening sessions or internal demonstrations
- Step in at short notice to resolve practical on-site tasks
Key Skills & Experience
- Exceptional organisational skills with meticulous attention to detail
- Highly process-driven and comfortable creating structure
- Comfortable balancing desk-based coordination with practical, hands-on tasks
- Reliable and able to attend the London office as required
- Strong communication skills across technical and non-technical stakeholders
- Pragmatic, service-oriented mindset with good judgement
- Comfortable managing multiple priorities independently
- Basic understanding of technical documentation, or strong curiosity to develop this knowledge quickly
- Experience in a technical administration, team PA, operations or engineering support environment (desirable)
- Experience using collaboration tools such as Jira, Confluence or similar systems (desirable)
- Experienced in the use of and experimentation with A.I. as a copilot, or at least genuinely receptive and excited to experiment with AI design tools and integrate them into your workflow
Personal Profile
You are organised, dependable and calm under pressure. You take pride in accuracy and follow-through. You enjoy enabling others to perform at their best and are comfortable moving between structured desk-based work and practical on-site support.
You notice when something needs doing and take ownership of resolving it.
Location – Hybrid (UK/London Based)
