Job Overview

Key Co‑ordinator Assistant role providing administrative support to the NMSK outpatient in‑house support team in liaison with the centralised outpatient team. Responsibilities include clinic template amendments, booking and cancelling appointments in accordance with Government Access Targets and the Trust’s Patient Access Policy, responding to patient and colleague queries professionally, and providing general clerical support.

Main Duties

  • Monitor emails and action clinic cancellations promptly according to SOPs.
  • Assist Manager/Team Lead in identifying capacity issues, ensuring utilisation of clinics, and reporting as required.
  • Provide booking service using the hospital computer system Careflow – book, cancel, rearrange appointments and use other modules as required.
  • Help maximise capacity utilisation, fill cancellation slots per booking rules, and address clinic capacity issues.
  • Coordinate with Manager/Team Lead on ASI slot changes and demand management.
  • Assist with ad‑hoc clinics, build requests or amendments liaising with IT.
  • Support the fracture clinic coordinator with calls via the liberty system and internal mailbox.
  • Action AHP access plan entries for Ortho‑Geriatrics.
  • Monitor and book patients’ appointments, cash up and record outcome as necessary.

Education and Training

  • Educated to a GCSE level (including Maths and English).

Experience

  • Experience working in a multi‑disciplinary, busy team environment.
  • Experience working under pressure.
  • Experience working to fixed protocols and procedures.
  • Experience communicating with patients/service users in a customer‑focused environment.
  • Desirable: experience in NHS or similar organisation.

Knowledge, Skills and Abilities

  • Excellent verbal and written communication skills.
  • Understanding of patient confidentiality, data protection and freedom of information policies.
  • Desirable: knowledge of the Careflow patient administration system.
