JOB DESCRIPTION


JOB TITLE: Assistant Building Supervisor


REPORTS TO: School Principal


RESPONSIBLE FOR: Assisting the building supervisor in the supervision of staff, including normal administrative processes.


JOB PURPOSE: Assist the building supervisor with on‑site supervision, cleaning and non‑cleaning services in accordance with Education Authority practices and procedures.


MAIN DUTIES AND RESPONSIBILITIES


Security



  • Secure premises and its contents.

  • Open and close premises and grounds, except where authorised.

  • Ensure all windows, doors and gates are locked at each day’s end.

  • Maintain keys custody, allocate to cleaning staff and ensure return at day’s end.

  • Operate and monitor security camera system, including changing and storing tapes where appropriate.

  • Operate fire, burglar, and building security systems, reporting faults.

  • Attend after‑hour incidents, secure premises, and initiate cleaning as required.

  • Report suspicious activity during normal hours.

  • Report any breach of security, such as used needles or illicit substances, to the line manager.

  • Apply grit or rock salt during snow and frost to keep pathways and entrances clear.


Mechanical and Electrical Services



  • Operate boiler/heating system efficiently, ensuring value for money and energy conservation.

  • Maintain lighting and heating of premises, including school meals accommodation where applicable.

  • Requisition adequate fuel in a timely manner.

  • Monitor and document usage of fuel, water and electricity.

  • Replace lamps, tubes and plugs with proper height, except where above access is available.

  • Inspect and report defects on firefighting equipment.

  • Chemically dose, clean and maintain swimming/hydrotherapy pools’ water levels.


Cleaning



  • Clean premises, excluding school meals accommodation area.

  • Plan, organise and control cleaning staff to meet Education Authority standards, personally undertaking cleaning duties where necessary.

  • Plan periodic work with service users and report to the line manager.

  • Recommend and implement changes to work procedures to improve economy, standards or operation ease.

  • Monitor suitability of materials and light equipment and advise the line manager if unsuitable.

  • Ensure all hard surfaces, paths and ornamental grounds are clean, tidy and litter‑free.

  • Ensure external drains, gullies and kitchen grease traps are free‑flowing and clean up to 3.35 m.

  • Wash and clean bins, including school meals bins.

  • Empty litter bins daily.

  • Provide ongoing cleaning service for spillage, flooding, midday toilet cleaning, litter or other weather‑related issues.

  • Replenish toilet rolls, soaps, paper towels and other requisites as needed.

  • Inspect sandpits daily and remove sand from fouled areas.

  • Clean and replace contents of sandpits and paddling pools as required.

  • Clean external signs, light covers and notices up to 3.35 m.

  • Clean non‑electrical fittings on all portable heating and ventilation equipment.

  • Ensure supplies of materials and light equipment are requisitioned and maintained within the budget.

  • Report defects in cleaning equipment to the line manager.

  • Prepare premises for after‑school activities and normal use.

  • Direct and clean internal fixed glass surfaces up to 3.35 m using appropriate equipment.

  • Ensure cleaning staff wear protective equipment/workwear where provided.

  • Investigate cleaning complaints, take corrective action and advise the line manager when applicable.


Porterage



  • Receive, transport and distribute stores, materials and goods, including school meals and milk materials.

  • Dispatch laundry, goods and other materials.

  • Assist with setting out and removal of tables and chairs and cleaning the room.

  • Transport refuse bins to and from collection points.

  • Prepare rooms for examinations and other purposes.


Administration



  • Prepare reports on cleaning and premises defects.

  • Authorise employment of outside contractors or workmen and monitor their activities.

  • Complete all paperwork associated with the post and write reports as required.

  • Maintain records of consumable stocks and equipment inventory.

  • Report electrical floor equipment defects immediately and keep repair records.

  • Maintain staff attendance, holiday and absence records, authorise and return them to the Education Authority on time.


Handyperson Duties



  • Perform duties within the post‑holder’s competence.


General Conditions



  • All duties comply with elections and additional duties as directed.

  • This description is flexible, subject to review, and may be updated to reflect changing circumstances.

  • Accept training for duties at or above current grade, with payment only when higher‑level duties are required.

  • Carry out induction and refresher training of cleaning staff where applicable, keeping records.

  • When the school is used for elections, perform duties as directed by the joint negotiating committee; detailed duties will be issued when required.

  • Functions fall within the grade’s purview as required.
