A Snapshot of Your Day: As a Senior Secretary within the Assembly, Test & Overhaul (ATO) department, you will provide high‑level administrative support to functional leadership, enabling the smooth running of day‑to‑day operations within a fast‑paced manufacturing environment. You will act as a trusted partner to senior managers and their teams, managing complex schedules, coordinating global travel and supporting key communications and documentation. With a proactive and organised approach you will play a key role in ensuring operational efficiency while maintaining a high level of professionalism, discretion and attention to detail.
Responsibilities
- Provide comprehensive administrative support to senior managers, including complex diary management, long‑term planning and email coordination.
- Coordinate and manage global travel arrangements, including flights, accommodation, visas and detailed itineraries, ensuring compliance with company policies.
- Act as a key point of contact for internal and external stakeholders, coordinating high‑level meetings, visits and events.
- Produce and maintain high‑quality documents, presentations and reports using Microsoft Office tools.
- Manage document control processes, ensuring accuracy, organisation and accessibility of records.
- Process and manage expenses in a timely and accurate manner using company systems.
- Support departmental communications using internal platforms and digital tools.
- Manage procurement of office supplies and support operational needs using company systems such as Ariba.
- Identify and implement improvements to administrative processes, systems and tools to enhance efficiency.
- Provide support across the wider administrative team, including onboarding and training of new colleagues.
Qualifications
- Proven experience in a senior administrative or executive‑assistant role, ideally within a dynamic or manufacturing environment.
- Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook.
- Strong experience managing complex diaries, global travel coordination and stakeholder engagement at senior levels.
- Excellent organisational skills with the ability to manage multiple priorities and work to tight deadlines.
- High attention to detail, particularly in document preparation, proofreading and data management.
- Strong communication skills, with the ability to confidently and diplomatically interact at all levels.
- Proactive, resilient and resourceful approach with strong problem‑solving capability.
- Ability to handle confidential information with discretion and professionalism.
- Experience with procurement systems (e.g. Ariba) and expense‑management tools is advantageous.
- Minimum of four GCSEs (or equivalent), including English and Maths.
