Reporting to the London Office Team Lead, the Office Coordinator will work with a team of amazing individuals that support our EMEA location of approximately 250 (and counting!) Taboolars. You’ll deliver excellent customer service while managing all day-to-day operations, maintain and organize our work environment, and create a place where employees can be productive and enjoy themselves.
To thrive in this role, you’ll need:
- 2+ years of experience as an office coordinator, ideally in a tech environment. Experience in a front office handling receptionist role and building relationships with a range of internal departments (finance, human resources, executive teams)
- Hands‑on mentality belief that no task is too big or too small and willing to get stuck in and contribute to the success of our employee experience and Office Admin team
- Strong prioritization skills and ability to manage a wide variety of requests
- Passion for tackling issues in the moment and anticipating future needs, a creative and outgoing nature, with a get‑it‑done mindset
- Ability to be resourceful and proactive in dealing with issues that may arise
- Interest and excitement surrounding corporate culture and events (ie. office events, Company days, Happy Hours, anniversaries etc) with a creative flair and attention to detail
- Confidence and ability to source new vendors and be cost effective
- Can comfortably lift 15‑20 lb items for office maintenance purposes
Bonus points if you have:
- Knowledge of Google Workspace and Adobe Photoshop is desirable

As an Office Coordinator, you’ll bring value by:
- Being the “face” of Taboola, greeting all visitors with warmth and professionalism, ensuring a smooth check‑in experience and prompt communication with their host
- Main point of contact for employees, clients, and visitors, triaging a wide range of requests, balancing multiple priorities with ease, keeping ahead of everyday tasks running smoothly and on schedule
- Maintaining security by following procedures and controlling access (monitor logbook, issue visitor badges)
- Answering, screening and forwarding any incoming phone calls while providing basic information when needed
- Updating appointment calendars and scheduling meetings/appointments
- Keeping the office running smoothly and maintaining inventory of all supplies, including IT equipment and a fully‑stocked kitchen
- Managing ad hoc projects and events, ranging from office lunches to annual parties, supporting the Office Admin team
