MDT Coordinator – Histopathology

Applications are invited from enthusiastic, suitably qualified individuals to coordinate Histopathology MDT activity within the Histopathology Department within South Yorkshire and Bassetlaw Pathology. The post holder will provide a range of administrative and secretarial support in this busy and interesting department.

The successful candidate will have experience of secretarial/tracking and administration duties along with experience of meeting objectives and deadlines in a fast-paced environment, experience of working with IT systems and excellent communication and interpersonal skills. Additionally, you should be able to work on your own initiative in prioritising workload deadlines, whilst also being able to work in a team.

Full in-service training will be provided. The successful candidate will be based in the Histopathology Secretarial office at The Royal Hallamshire Hospital.

The South Yorkshire and Bassetlaw (SYB) Pathology Partnership fully integrates the pathology services delivered on behalf of the Partner Trusts within the Integrated Care System (ICS) footprint; Barnsley Hospital NHS Foundation Trust, Doncaster and Bassetlaw Teaching Hospitals NHS Foundation Trust, Sheffield Children’s NHS Foundation Trust, Sheffield Teaching Hospitals NHS Foundation Trust and The Rotherham NHS Foundation Trust.

Main duties of the job

To provide management of the administrative and operational tracking process of Histopathology and Diagnostic Cytology samples, enabling seamless delivery of pathways maximizing patient experience.

To work closely with Trust/Specialty Cancer Trackers to identify and track cancer related work.

To provide validation and monitoring of the histopathology performance against national set turnaround times.

Identifying and investigating delays, bottlenecks, or other issues impacting workflow efficiency.

Identifying areas for improvement in the tracking processes and systems and implementing necessary changes.

To collaborate with laboratory, histology administrative and Consultant staff as well the site cancer MDT coordinators and offer dedicated support to both clinical and non-clinical teams.

Ensuring compliance with regulatory standards and quality assurance measures and maintaining documentation of Histopathology cases.

To ensure all information relating to the Histopathology case tracking is communicated effectively and by the most appropriate medium.

Job responsibilities

This vacancy is advertised on a fixed term contract basis for a period of 12 months due to the post being externally funded. The fixed term contract status of the post holder will be reviewed in accordance with the Trust’s legal obligations regarding fixed term contracts taking into consideration the ongoing source of the external funding and the requirement for the post to be maintained.

Please note all existing NHS staff will only be considered on a secondment basis. This must first be agreed with your current line manager.

Person Specification

Experience

  • Ability to follow and work to Standard Operating Procedures and Policy
  • Extensive experience of secretarial/tracking/administration duties
  • Experience of meeting objectives and deadlines in a fast-paced environment
  • Experience of working with complex IT systems
  • Experience in working as a Medical Secretary
  • Experience with NHS/Healthcare software systems

Skills and Knowledge

  • Working knowledge of Microsoft Office package (word, excel, access etc)
  • Effective communication skills, written and oral
  • Evidence of effective time management skills and with a methodical approach
  • Ability to deal with multiple IT systems at once
  • Ability to plan and prioritise allocated work
  • Attention to detail and analytical thinking

Qualifications

  • Level 4 qualification e.g. diploma or NVQ level 4 qualification or equivalent experience
  • GCSE (or equivalent) in English and Maths at grade C/4 or above or equivalent Or NVQ 3 in business admin/customer care with additional evidence of extra training or qualifications undertaken in an administrative setting.(e.g ILM 3) Or equivalent experience
  • IT qualification to Level 2 or 3 and/or EDCL
