Role Summary
Within this role you will support the School Immunisation Team Lead in the operational management of NHS Greater Glasgow & Clyde School Immunisation Teams. You will provide administrative support for clinic scheduling, appointment bookings, information tracking and data provision across schools. You will work in partnership with service users, care providers and other agencies. The role is essential to enable clinical teams to work efficiently and ensure timely, well‑coordinated care for children, young people and families in the community.
Duration, Location and Working Pattern
- Pollockshaws Clinic, Wellgreen
- Monday to Thursday 08:30 to 16:30 and Friday 08:30 to 15:00
- Contracted over 12 months; 8 months full‑time 36 hours per week from August to April, with leave of 4 months from April to August (pro rata for part‑time hours).
Key Responsibilities
- Provide comprehensive administrative support to the School Immunisation Team, ensuring effective day‑to‑day running of the service.
- Act as first point of contact for telephone, email and face‑to‑face enquiries, responding professionally and directing queries while maintaining confidentiality.
- Organise and support meetings and events, including diary management, preparation of documentation, minute‑taking and follow‑up of actions.
- Produce accurate correspondence, reports and data using NHS systems, maintaining a high standard of attention to detail.
- Maintain efficient, up‑to‑date electronic and paper filing systems in line with data protection, confidentiality and NHS policies.
- Accurately record, update and manage clinical and non‑clinical data, including appointments and staff records.
- Work independently within agreed procedures while contributing positively as a reliable member of the wider multidisciplinary team.
Knowledge, Training, Qualifications and Experience
- Demonstrate competence in standard IT systems and office software, including word processing, email, spreadsheets and electronic record systems.
- Bring experience of working in an administrative or office‑based environment, with knowledge of general office procedures and systems.
- Show strong verbal and written communication skills, and ability to interact professionally with colleagues, service users and external organisations.
- Work effectively both independently and as part of a wider team, using initiative to prioritise workload and solve routine problems.
- Maintain a good understanding of confidentiality, data protection and information governance within a healthcare setting.
- Be willing to undertake ongoing training and development, including participation in short courses or relevant qualifications such as SVQ in Administration.
- Apply organisational awareness gained through induction and experience to support service delivery and meet departmental standards.
