Working within a team of 11 consultant surgeons and 7 medical secretaries in the Urology department, the Medical Secretary will assist 2 consultant surgeons under the supervision of the Administration Manager. The role includes managing telephone calls, theatre sessions, clinic outpatient lists and ensuring the department operates at full capacity.

Main duties of the job

• Act as a senior point of contact to manage enquiries and resolve them promptly.
• Ensure clinical documentation is up to date and available for clinical decision making.
• Organise patients under the consultant’s care in accordance with local and national policy and targets.
• Maintain an efficient office management system to optimise patient care services; manage the consultant’s schedule and leave arrangements and communicate with all relevant personnel.
• Support team members by providing training, cross‑cover, and supervision as needed.

Job responsibilities

• Oversee support secretaries for patient bookings, documentation and typing.
• Use hospital systems (EPR, MModal) to manage workload and RTT patient pathways.
• Liaise with patients by phone for clinic and theatre bookings, providing feedback to consultants and the admin team.
• Respond to patient complaints and provide follow‑up actions to the PALS team and senior management.
• Organise booking of outpatient follow‑up appointments and short‑notice theatres, tracking the patient through the process as part of managing the consultant’s waiting list.
• Responsible for typing routine and urgent letters, coordinating with clinicians and following up on verification.
• Complete Trust mandatory training and keep all modules up to date.
• Attend regular 1:1 meetings with the Admin Manager for work activities, planning, training, and welfare checks.
