ENT Medical Support Secretary

Job overview

This role is part of a team that delivers an efficient, patient‑focused secretarial service to ENT clinicians. Responsibilities include preparing clinic letters, managing the Medical Secretary inbox, handling e‑mail queries, telephone calls and acting as a liaison between patients, relatives, and clinical staff.

Main duties of the job

  • Coordinate communications with clinical and non‑clinical staff via telephone and email.
  • Act as point of contact for patients, relatives and carers, maintaining a polite and empathetic approach at all times.
  • Return calls promptly and update callers with accurate information.
  • Escalate patient queries, capacity issues and general concerns to the line manager or relevant clinical staff.
  • Support service improvement initiatives and drive patient‑focused care within the team.

Qualifications and training

  • GCSE or equivalent (grade C or above) in English Language and Maths.
  • Business and Administration Level 3 NVQ or equivalent experience.
  • Qualification in word processing or audio typing, or equivalent.

Skills and abilities

  • Effective and polite communication face‑to‑face and over the phone.
  • Ability to work under pressure, meet deadlines while maintaining high accuracy.
  • Teamworking skills, adaptability to change, and ability to motivate others.
  • Independent work with initiative where required.
  • Confidence in handling difficult conversations with patients and relatives.
  • Organisational skills and proficient use of Microsoft Office packages.
  • Willingness to adapt to new computer packages and programmes.
  • Supportive and respectful demeanour.

Knowledge and experience

  • Experience dealing with the public, both by telephone and in person.
  • Clerical or administrative experience.
  • Previous NHS experience.
  • Understanding of medical terminology.
