Community Receptionist

The Community Reception Team is looking for an enthusiastic, highly motivated individual to cover Manor Clinic, Nether Edge Out‑Patients and Firth Park Clinic. The successful applicant will be the first point of contact for patients, visitors and staff, assisting with enquiries, sign‑posting and escalating queries accordingly.
Responsibilities
- Act as the first point of contact for patients, visitors and staff, handling enquiries, sign‑posting and escalating queries.
- Provide comprehensive reception and administrative support, prioritise a varied workload and maintain IT systems.
- Greet patients and visitors, input relevant information into the Electronic Patient Record (SystemOne & Connect) and maintain electronic room bookings (SharePoint and BookWise).
- Deal with routine clerical duties and provide administrative support to the Infrastructure Support Officer, logging jobs with Estates and IT colleagues as required.
Qualifications
- GCSE at Grade C/4 in English and Maths (or equivalent qualifications).
- RSA Stage II Word Processing/Typing or equivalent experience/qualifications.
- CLAIT qualification.
- ECDL qualification.
- NVQ 2 or 3 in Business/Administration.
Experience
- Computer literacy and competent use of Word Processing, Spreadsheets and Databases.
- Experience of working independently without supervision.
- Patient/Customer Care skills, including telephone.
- Previous experience of a range of office management procedures and practices.
- Experience of taking action notes.
- Good understanding of System One.
- Experience of using SharePoint.
Skills
- Excellent organisational skills with the ability to prioritise a diverse workload.
- Good interpersonal, oral communication skills, including telephone manner.
- Fast, accurate typing.
- Filing, including setting up systems.
- Understanding of IT, including Microsoft packages, internet and e‑mail.
- Acceptable standard of document presentation and layout skills.
- Basic numeracy.
- Self‑motivated with the ability to meet deadlines and work under pressure.
- Good and proven knowledge of administrative procedures.
- Ability to understand, demonstrate and maintain confidentiality and security in the department.
- Ability to multitask.
- Ability to work within a multi‑disciplinary team.
Contract Information
Fixed term (maximum 12 months). Part‑time options available. Salary: £25,272 per annum (pro‑rata for part‑time).
