Overview

We are seeking an Admin Officer / Receptionist for the Renal Services department at Sheffield Teaching Hospitals. The post holder will provide clerical support to the Renal Clinical Nurse Specialist Teams and patients. Our administration staff are the engine that keep our hospitals and services running smoothly and provide excellent business support to our staff and patients. Main duties of the job

  • Undertake a comprehensive administration service to the Renal Clinical Nurse Specialist Teams, working as part of the Clinical Nurse Specialist Administrative Team hub.
  • Organise Consultant/Specialist Nurse outpatient activity, using hospital EPR systems, and any other identified sources (e.g., MS Excel) to book new and follow up appointments in line with Trust/National policy to meet local and National targets.
  • Act as an initial point of contact for queries relating to the Clinical Nurse Specialist Teams from GPs, consultants, medical staff and health care professionals, taking accurate messages as required.
  • Arrange clinic cancellations and amendments in line with Trust policy to meet local and National targets, liaising with consultants and relevant staff to maintain an efficient service.
  • Liaise regularly with colleagues including management team, consultants and other administrative staff to ensure full utilisation of all available outpatient slots.

Person specification

Education and Qualifications

  • GCSE at Grade C/4 in English and Maths (or equivalent qualifications) or equivalent experience
  • NVQ Level II in Business Administration / Customer Service / IT

Experience

  • Experience of working within an office environment
  • Experience of working in a public facing role
  • Relevant experience within the NHS

Further Training

  • Knowledge of / experience of using information and/or customer service systems
  • Working knowledge of Microsoft Office packages including Outlook, Excel and Word
  • Previous experience Infoflex / 59R Software
  • Previous experience of PAS / Infoflex / SystmOne (area specific software)

Skills and Knowledge

  • Understanding of data protection issues and the ability to maintain confidentiality
  • Excellent communication skills, with ability to deal with staff at all levels
  • Displays use of initiative with effective organisational skill
  • Ability to prioritise and work to strict/conflicting deadlines
  • Ongoing commitment to personal development
