A Hire Coordinator
As a Hire Coordinator at Sterling, you will play a crucial role in coordinating AV equipment requests from venue partners, agencies and end clients, as well as managing equipment hire bookings for trade clients. You will be responsible for providing optimal solutions and smooth operations between clients and internal teams. This is a role that integrates with every team across the business.
Client and Venue Management
- Process and coordinate AV equipment requests from a broad spectrum of clients
- Advise clients on optimal solutions for their events, leveraging our vast inventory and in-house expertise
- Maintain client relationships and identify upselling opportunities, feeding briefs to our projects department where necessary
Operations and Logistics
- Maintain accurate stock bookings and availability
- Produce daily schedules for Venue Technicians
- Liaise with relevant teams for equipment preparation and dispatch
- Troubleshoot and resolve booking conflicts or equipment shortages
- Identify and rectify shortcomings in labour or transport requirements ahead of time
- Continuously monitor equipment shortages and stock utilisation
- Occasionally support warehouse operations by assisting with the preparation (prepping) of AV equipment for upcoming hires, ensuring all items are tested, configured and rental ready
- Occasionally assist with the de-preparation (de-prepping) of returned equipment, including checking and ensuring items are correctly returned to stock
- Accurately pick and allocate equipment in line with hire procedures
- Report and manage equipment faults and damages via company quarantine processes
- Assist with vehicle loading and unloading where required
- Coordinate internal transport requests to and from our Manchester HQ, liaising with our Manchester hire department
Documentation and Communication
- Generate quotes and invoices for our services
- Communicate effectively with clients and internal teams
- Prepare health and safety documentation for venue operations
Support and Development
- Provide occasional out-of-hours telephone support
- Contribute to improving hire processes and procedures
- Stay updated on new equipment and industry technologies
- Occasional assistance with on-site work and other tasks as the business requires
Qualifications And Key Attributes Of The Candidate
- 2+ years of experience in a similar role within the AV or events industry
- Strong, comprehensive understanding of a broad range of audio, visual, lighting, and scenic equipment
- Excellent organisational and time management skills
- Problem-solving skills and ability to make quick decisions
- Proficient in MS Office and inventory management software
- Outstanding communication and interpersonal skills
- Ability to work under pressure and meet deadlines in a fast-paced environment
- Knowledge of health and safety regulations in the AV and events industry
- Willingness to provide occasional out-of-hours support
- Flexibility and a customer focused attitude
- High standard of personal presentation
- Ability to work as part of a team and under own initiative
- Passion for staying current with emerging AV technologies and industry trends
- Full UK Driving Licence and own transport
Required Technical Knowledge
- In-depth understanding of audio equipment: mixers, speakers, microphones, amplifiers, and signal processing gear
- Comprehensive knowledge of visual equipment: projectors, screens, LED walls, cameras, and video switchers
- Strong grasp of lighting equipment: conventional and intelligent fixtures, control boards, and rigging systems
- Familiarity with scenic elements, staging, drapes, and truss systems
- Understanding of signal flow and basic troubleshooting for AV systems
Training & Progression
We value our team and want to see them progress and develop their skills and careers within Sterling. Ongoing training will be provided as the job role requires.
Working Hours
Standard working hours will be Monday – Friday 08:00 to 17:00, with a flexible approach to working hours as required by the nature of our industry.
Holidays
- 33 days per year
- After 3 years continuous service you will receive your birthday off (day off can be taken within 7 days of your birthday)
- After 5 years continuous service you will receive a further day’s holiday
The company operates compulsory shutdown days on Christmas Day (25th December), Boxing Day (26th December) and New Year’s Day (1st January) which will be automatically deducted from your annual holiday entitlement. Where any of these days fall on a weekend, the compulsory shutdown day will be the associated UK bank holiday substitute. The company reserves the right to require you to work on a bank and public holiday including shutdown days providing appropriate notice.
