Senior Clinical Trials Pharmacy Assistant – Band 3 – Permanent

As a Senior Clinical Trials Pharmacy Assistant you will play a key role in supporting clinical trial research teams across Oxfordshire, ensuring the safe, efficient and compliant management of investigational medicinal products.

Core Responsibilities

  1. Obtain and maintain Good Clinical Practice (GCP) training.
  2. Apply GCP principles and comply with Medicines (Clinical Trials) Regulations 2004 and related EU directives.
  3. Communicate with investigators, research nurses, Trust R&D, sponsors, clinical research associates and pharmacy staff during trial set‑up and execution.
  4. Ensure that clinical trial protocols and SOPs are followed during dispensing of investigational medicinal products.
  5. Order, receive, process receipt paperwork and acknowledge receipt in IVRS (Electronic Medication Supply) systems.
  6. Check stock levels and expiry dates; keep balance logs current.
  7. Assist with packing down and re‑labelling of trial drugs where required.
  8. Prepare for monitoring meetings, audits and inspections.
  9. Maintain clinical trial files for easy retrieval and presentation.
  10. Process returned clinical trial drugs and keep paperwork organised.
  11. Participate in statutory temperature monitoring of clinical trial stock.
  12. Assist with destruction of expired or unsuitable trial medication.
  13. Facilitate the closedown and archiving of trial files.
  14. Represent the Clinical Trials Team to update dispensary staff at meetings.
  15. Liaise with research nurses to update them on trial progress and stock levels.
  16. Collect data requested by senior technicians or pharmacists.
  17. Maintain financial records, generate invoices and check payments.
  18. Handle general administration, including organising set‑up meetings and serving as point of contact within the team.
  19. Use computer systems and IT consistently across all pharmacy areas.
  20. Maintain drug accountability documentation and filing systems.

Regulatory Tasks

  • Assist in non‑aseptic preparation and dispensing of trial medication following RPSGB code of ethics, GMP, GCP, Health & Safety, Medicines Act, Misuse of Drugs Act, COSHH and departmental procedures.
  • Adhere to Pharmacy, CTASU and Trust standard operating procedures.
  • Ensure proper disposal or recycling of medicinal products in line with Health & Safety, COSHH and departmental SOPs.

Teaching and Training

  • Participate in work‑based training, development and appraisal programmes.
  • Assist in training and induction of pre‑registration students, technicians and assistants when required.

General Responsibilities

  • Maintain confidentiality at all times.
  • Provide good customer service.
  • Contribute to the audit programme.
  • Work weekend, evening and bank‑holiday shifts as per rota.
  • Perform any other reasonable duties as requested.

Risk Management

  • All staff share responsibility for managing risk within a proactive and supportive environment.
  • Staff will receive training and support to meet this responsibility.
  • Familiarise yourself with the major incidents policy, fire policy and local response plan.

Health and Safety Responsibilities

  • Ensure all duties comply with the Health and Safety at Work Act 1974, statutory regulations and Trust policies.
  • Attend health and safety training and receive specialist advice where necessary.

Infection Control

  • Adhere to Trust Infection Prevention and Control Policies.
  • Wash hands or use alcohol gel on entry/exit from clinical areas and between patient contacts.
  • Attend mandatory infection control training provided by the Trust.
  • Contact Occupational Health if you develop a transmissible infection.

Special Working Conditions

  • Adhere to hygiene and clothing requirements of specific work areas (e.g., removal of makeup, jewellery, wearing protective clothing). 
  • Work in confined spaces for up to three hours at a time may be required.

Qualifications

Applicants should possess a BTEC Level 2 in Pharmacy Service Skills, an equivalent qualification or a related degree (e.g., pharmaceutical or science). Candidates without these qualifications will be considered on the basis of other experience but will need to undertake the relevant qualification in Pharmacy Service Skills.
