We are seeking a highly organised and detail‑oriented Warehouse Coordinator to support the efficient day‑to‑day operation of our warehouse in North Shields. This role is ideal for someone with experience in warehouse administration, stock control, purchasing, and logistics coordination who thrives in a fast‑paced operational environment.
Role Overview
The Warehouse Coordinator is responsible for ensuring efficient warehouse support by coordinating orders, stock management, purchasing, and administration activities. The role includes maintaining warehouse systems and master data, preparing pick lists and shipping documentation, supporting vehicle fleet coordination, and ensuring compliance with health, safety, labour‑law, and GDPR requirements.
Working closely with internal stakeholders, suppliers, finance teams, and project managers, the successful candidate will also contribute to reporting and continuous improvement initiatives.
Key Responsibilities
- Create and maintain accurate master data within warehouse systems, including item pricing updates
- Maintain warehouse tools and systems including BC365, TraceTool, scanners/QR systems, label makers, printers, and order forms
- Ensure warehouse activities comply with HSE, labour‑law, and GDPR requirements
- Process incoming orders from business units and project managers
- Prepare pick lists, order confirmations, shipping documentation, and packing details
- Raise purchase orders, source goods, and monitor stock availability within approved authority levels
- Support vehicle fleet coordination, ensuring vehicles are registered, traceable, and maintained within relevant systems
- Maintain certificates and associated compliance documentation
- Prepare invoices and credit notes in line with finance schedules
- Support financial and stock reporting activities
- Provide operational information to support tendering, bidding, and project planning
- Maintain effective communication with suppliers, internal customers, administration teams, and warehouse leadership
- Contribute to process improvement and operational optimisation initiatives
Skills, Knowledge & Experience
The ideal candidate will have:
- Previous experience supporting warehouse operations, stock control, and supply chain processes
- Experience working with warehouse management systems and master data administration
- Understanding of HSE compliance, quality standards, and risk management
- Strong organisational and problem‑solving skills
- Excellent attention to detail and accuracy
- Strong communication and stakeholder management skills
- Ability to manage multiple priorities in a fast‑paced environment
- Competent IT and systems skills, including warehouse and stock management platforms
