Purpose of role
The role of Office Services Operator is to provide a professional print and mail room service to all clients and contractors. With excellent customer services skills, the office services operator will assist the client to meet deadlines, producing a high standard of work, putting the customer/client first and foremost while helping to run an efficient service.
Responsibilities
- Scan, print and copy documents for the client, ensuring the work is quality checked and sent back correctly.
- Deal with incoming post: sort and scan everything and e‑mail to the relevant departments.
- Deal with outgoing post by Franking/Royal Mail click and crop.
- Book couriers and deal with incoming couriers quickly and efficiently.
- Build relationship with clients and manage their perceptions and expectations.
- Support colleagues and work as a team to achieve the best results for clients.
- Comply with departmental procedures.
- Assist with stationery, check and stock cupboards, record items that need ordering.
- Maintain records within the records management system.
Qualifications and Personal attributes
- Willing and enthusiastic attitude.
- Good PC skills with knowledge of Microsoft Word and Excel.
- Previous post room and reprographics experience preferable, but not essential.
- Good customer service skills.
- Able to think outside the box and make decisions if required in the absence of the Team Leader or Senior Operator.
- Handles difficult situations well and acts appropriately.
- Displays an adaptable and flexible approach.
- Team player, personable and willing to help out wherever required to get the job done.
