Job Description:

As the Events Manager, you’ll participate in end-to-end event management for McCann Health London and FCB Health. You’ll oversee and project manage the planning and delivering congresses, exhibitions, symposia, launch events, workshops, ad-boards. This consists of overall organisation of the event for our clients, content delivery and onsite management and problem solving when required. The position offers a great opportunity for an individual with a passion for events to work with leading clients in pharmaceutical, biotechnology, and medical devices.

JOB DUTIES/RESPONSIBILITIES:

  • End-to-end event management for cross-functional account teams in the running of client in-person and virtual projects
  • Delivering all aspects of the events including venue hire, logistics management, AV and soaker management, exhibition management, liaising with clients and third parties, overseeing content delivery, content testing and onsite management during the events
  • Develop and maintain strict project timelines
  • Delivery of all content for the event through the agency, following the agency process where possible
  • Working with 3rd Party suppliers (i.e., hotels, DMCs, congress secretariates, booth builders, audio visual, med comms, production, printing, logistics and experiential) as and when necessary
  • Follow agency process and making sure that internal production quality assurance is abided by
  • Travel to events when required for onsite management
  • Leading operational responsibilities including setting up and dismantling equipment ensuring health and safety guidelines are prioritised.
  • Ensure all finance processes are adhered to; event budgets, approval of 3rd party invoices against purchase orders and reconciling expenses
  • Build sections of/review scopes of work to ensure all fee and third-party elements have been considered and are scoped and included accurately
  • Ensure accuracy on all third-party platforms
  • Build relationships with key suppliers to enhance client experience
  • Take personal accountability for maintaining high ethical standards and compliance
  • Identify and understand industry trends to enhance client service delivery
  • Drive new business pitches

KNOWLEDGE, SKILLS, & ABILITIES:

  • Strong understanding of full conference end to end delivery
  • Demonstrate ability to manage numerous stakeholders including clients, third party agencies, suppliers, medical affairs and internal departments.
  • Strong experience working with and understand of stand design, audio visual companies and booth builders
  • Up to date knowledge of event and exhibition AV, technical hardware and new technologies
  • Able to foresee pressure points and to manage tension and the expectations of clients and stakeholders, both internal and external
  • Strong project management capabilities
  • Experience in exhibition stand or AV management is a bonus
