Assistant Practice Manager – GP Practice

We are looking to recruit an experienced manager into our growing practice to support the practice manager in all aspects of practice functionality, including motivating and managing staff, optimising efficiency and overall performance, ensuring the practice achieves its long-term strategic objectives in a safe and effective working environment.

Position: 25 hours per week, Monday to Friday, 1pm-6pm.

Key Responsibilities

  • Support the practice manager in day-to-day operations, ensuring staff reach their primary responsibilities and patients are supported in care.
  • Lead Human Resources: motivation and productivity, implement policies and procedures, conduct staff reviews in line with legislation.
  • Monitor and maintain compliance for health & safety and GDPR legislation.
  • Line‑manage staff where appropriate, supporting them with a good appraisal system and robust HR framework.
  • Develop, implement and embed effective training programmes for all staff (clinical and administrative), liaise with external agencies and maintain training records.
  • Work with the care coordinator manager on IT issues, maintenance, reporting, auditing and contractual requirements.
  • Ensure the clinical session structure is effective, meets patient needs and contractual obligations through regular reviews.
  • Support the overall practice clinical governance framework: reporting for QOF, enhanced services and other reporting requirements using CQRS, and undertake annual reporting and submissions to ensure compliance.
  • Support the team to improve accessibility, safety and effectiveness through practice reports, audits, monitoring, planning and implementing change under the practice manager’s direction.
  • Develop, implement and embed the practice audit programme.
  • Maintain the practice team net actions.

Essential Experience

  • Working with HR, legislation and contracts.
  • Working with the public.
  • Leadership and management.
  • Working in an NHS health care setting.
  • Performance management, including appraisal writing, staff development and disciplinary procedures.
  • Managing a team.
  • Managing projects at higher level, including understanding contracts from external organisations.
  • Experience of workforce planning.
  • NHS / Primary Care General Practice experience.

Desirable Experience

  • Leading multidisciplinary teams.
  • Relevant health and safety experience.
  • Experience of producing agendas and minutes for meetings.

Essential Skills & Personal Qualities

  • Excellent communicator with strong IT and leadership skills, strategic thinker, prioritising, delegating and meeting tight deadlines in fast‑paced environments; effective time management, analytical and problem‑solving abilities; capacity to develop, implement and embed policies and procedures while motivating and training staff.
  • Polite, confident, flexible and cooperative, with excellent interpersonal skills, proactive and solutions‑focused approach, high integrity and empathy in sensitive situations; resilience, initiative and drive to lead teams, enhance morale and successfully deliver change.

  • Good standard of education with excellent literacy and numeracy skills.
