Job Overview

Administration Assistant (iCaSH Cambridgeshire). Band 2, full or part‑time, based at The Lime Tree Clinic, Cambridge.

Contract: Permanent. Salary: £25,272 per annum (pro rata).

Hours: 37.5 per week (Monday–Friday, 8 am–8 pm on rota). Eligible for flexible working.

Main Duties

  • Act as the first point of contact to patients and visitors: provide welcoming, friendly, efficient, courteous and professional reception, answering phone calls (0300 line), online booking, direct messaging and chat functions.
  • Book appointments for clinics, manage registrations and update patient demographics in the clinical system.
  • Keep accurate manual and electronic patient records in accordance with the Trust’s Record Keeping Policy.
  • Respond to routine enquiries and pass information to relevant colleagues in a timely manner.
  • Receive, sort, distribute and dispatch all mail; prepare outgoing mail for collection.
  • Take bookings for meeting rooms when required.
  • Assist with archiving clinical notes and scanning of client medical records, laboratory reports and other correspondence onto the electronic patient record.
  • Provide administrative support to iCaSH Service secretaries as needed.
  • Maintain own professional development and participate in the Trust’s appraisal and KSF process.
  • Support stock control and ordering as needed.

Knowledge and Skills

  • Ability to maintain good relationships with colleagues and professional staff
  • Excellent organisational, telephone and communication skills with strong prioritisation ability
  • Working with sensitive information and protecting confidentiality
  • Knowledge of administrative systems and programmes in healthcare

Qualifications and Training

  • GCSE (or equivalent) in English and Maths
  • Competent computer and software user
  • Knowledge of full range of secretarial procedures, software programmes and medical terminology

Experience

  • Proven experience with Microsoft Office
  • Ability to work to deadlines and use own initiative
  • Experience in dynamic environment
  • Experience in NHS or healthcare clinic, and preferably a clinical setting

Budgetary Responsibility

Contribute to the financial delivery and sustainability of department objectives; support stock control and ordering as required.

People Management

Maintain professional development; participate in Trust appraisal and KSF process.

Clinical and Practice Governance

Observe and maintain confidentiality; adhere to Data Protection Act, Information Governance, Infection Prevention and Control policies; undertake mandatory training; participate in audits, research and emergency preparedness.
