About the role
We’re looking for a proactive and enthusiastic Facility Assistant to join our Enabling Functions team. Based across our Canary Wharf and Kings Cross offices, you’ll play a key role in delivering a professional, welcoming, and well-managed workplace environment.
Working closely with the Facilities Manager and wider team, you’ll support the day‑to‑day running of our modern office spaces, helping ensure they are maintained to the highest standard and provide an excellent experience for employees, visitors, and contractors.
This is a front‑facing role with a varied workload, ideal for someone who enjoys working in a fast‑paced, people‑focused environment.
Working hours: This role operates on a rotating rota of:
- Monday to Friday 08:30am – 4:30pm, and
- Monday to Friday 09:30am – 5:30pm
Flexibility will be required to support business needs, including covering absence where necessary.
Travel: Travel to other offices within the London area is essential for this role.
What you’ll be doing
Front of House & Reception
- Acting as the first point of contact for visitors, providing a professional and welcoming experience
- Managing reception duties including answering calls and responding to shared mailbox queries
- Supporting employees, visitors and contractors with day‑to‑day queries
Meeting Rooms & Office Environment
- Managing meeting room bookings and ensuring rooms are set up and maintained to a high standard
- Carrying out equipment checks and coordinating hospitality requirements
- Ensuring all office areas, including kitchens and tea points, are clean, stocked and presentable
Mailroom & Administration
- Managing incoming and outgoing post, including internal distribution
- Supporting the company’s hybrid mail system
- Providing general administrative support as required
Facilities Support
- Monitoring and replenishing office and stationery supplies
- Managing access control systems and issuing ID passes
- Supporting contractors and liaising with landlords where required
- Reporting and following up on maintenance issues
- Assisting with health & safety and general facilities management tasks
- Carrying out occasional manual handling and physical tasks
Who we’re looking for
We’re looking for someone who is organised, approachable, and takes pride in delivering excellent customer service.
Essential:
- Experience in a similar facilities role
- First Aid or Fire Marshal certification
- Good IT skills, including Microsoft Office
- Strong communication skills (both verbal and written)
- Confident engaging with people at all levels
- Excellent organisational skills and ability to manage a varied workload
- Ability to work independently and as part of a team
