Main duties of the job
Our admin team play a crucial role in supporting our partners, GPs and practice as a whole. We have a can do attitude and support the practice in every aspect when needed. Applicants to this role need to be flexible as duties can vary on a daily basis.

Job responsibilities
Main responsibilities:
- To work in the administrative team line managed by the Administration Manager and also provide administrative support as required to the Partners and Practice Business Manager.
- To provide support to the Partners in correctly identifying and targeting patients for assessment and treatment.
- To troubleshoot minor IT problems and identify solutions where possible. Where appropriate report IT faults to the appropriate suppliers helpdesk and monitor response ensuring swift resolution.
- Allocating the results twice daily.
- Registering new patients, adding relevant coding, recording the new patient Health Check information and scanning the document to the notes.
- Temporary registrations – ensuring properly entered on EMIS. Logging when first seen, checking registration status and printing outpatient journal to send to the appropriate GP surgery after 3 months.
- Open Exeter – Adding patients Organ Donation preference if stated on Registration Form (if opting out or specific requirements).
- GP to GP – filing patients notes when they come down the link.
- Childhood immunisations – running searches and ensuring the procedures are followed.
- QOF (Quality Outcomes Framework)
- IIF (Investment and Impact Fund)
- Discharge summaries and clinical letters (including some scan reports) from outside agencies – importing from NHS.net into Docman, coding and send to partners
- Out of hours reports, some x-rays/ultrasound and MRI/CT scans come in via EMIS and are allocated to the partners. Return if not our patient
- Death administration
- Patient information requests (SARs (Subject Access Requests) and TSARs (Targeted Subject Access Requests)) as per GDPR
- Ad-Hoc tasks
- Scanning, maternity/medical exemption forms, DS1500 forms, etc.
Person Specification
Experience
- Desirable but not essential experience of working in a healthcare environment.
- Desirable 1+ years GP surgery experience
- Essential 2+ years administrative experience
- Comfortable speaking on the telephone
- Able to work individually and part of a team
