Join Our Team as a Projects & Service Coordinator
We’re looking for a proactive and highly organised Projects & Service Coordinator to join our growing Operations team. This is a fantastic opportunity for someone who thrives in a fast‑paced environment, enjoys problem‑solving, and wants to play a central role in delivering excellent service to both clients and engineers.
In this position, you’ll act as a key point of contact across our Projects department and service regions, supporting smooth day‑to‑day operations and ensuring projects run efficiently from start to finish.
What You’ll Be Doing
- Take ownership of assigned tasks and support colleagues during periods of absence.
- Prepare, issue, and follow up on recommendation quotations following engineer site visits.
- Track quotation progress and update Monday.com accordingly.
- Manage and update Asset Lists on our CAFM system, ensuring timely receipt from engineers.
- Maintain client portals by uploading invoices and engineer reports (excluding compliance portals).
- Send daily outlooks to Engineers to support schedule clarity and alignment.
- Coordinate daily project activities, working closely with the Head of Projects to:
- Raise new jobs, schedule work, assign engineers, and issue RAMS.
- Raise supplier/sub‑contractor POs and oversee project delivery end‑to‑end.
- Ensure all documents follow the correct process and are stored accurately.
- Process supplier and sub‑contractor invoices and manage GRN updates.
- Work with accounts and clients to resolve credit queries.
- Maintain regular communication with Project Engineers and attend project meetings.
- Participate in team meetings and appraisals to support continuous improvement.
- Uphold company Health & Safety standards.
What We’re Looking For
Skills & Experience
- Proficient with Microsoft Word, Excel, Outlook.
- Experience with Monday.com and MRI Concept Evolution is beneficial (training provided).
Personal Qualities
- Strong written and verbal communication skills, with a confident telephone manner.
- Highly organised with excellent attention to detail.
- A team player with a positive, enthusiastic attitude.
- Able to manage pressure and handle multiple priorities.
- Within easy commuting distance of our Slough Head Office.
