We require a Site Administrator/ Document Controller to support our project office in Plymouth.

Your responsibility as Site Administrator/ Document Controller is to ensure the efficient, day‑to‑day administrative operation of the project office. They coordinate and oversee administrative duties as well as the coordination of any facilities based functions within the office. Responsibilities include Document Control, greeting visitors, managing office supplies and equipment, overseeing contractors carrying out property repairs and inspections, owning budgets, supporting senior staff members with administrative tasks and management of office based soft services such as cleaning, facilities management and site security. Creates a collaborative office environment to allow staff to thrive in.

This role is based full time on site in Plymouth.

Responsibilities

Site Administration

  • Assisting with the set up and administration of project systems and data for the Plymouth office
  • Facilitate site inductions & assist onboarding process for new starters
  • Manage all aspects of office duties: maintain office & cleaning supplies and asset register
  • Order materials for site: signage, kitchen & toilet supplies, office stationary, PPE, etc.
  • Organising site visits, events and training courses: PPE, hotels, car hire, meeting room, lunches, etc.
  • Copy onto server: plant inspections, check sheets, etc. File site deliveries, waste transfer notes, etc. in site files and Sharepoint drive
  • Take weekly returns from subcontractors: hours, waste transfer notes, consignment notes, materials, fuel used, etc.
  • Upload some of this data with Sustainability Team on Moata
  • Support safety team upload safety data on Capture
  • Scribe weekly and monthly meeting minutes. Distribute to attendees. Manage meeting room
  • Circulate team communications

Document control

  • File and scan items for folders
  • Assist with issuing/ filing drawings on Sharepoint and on site to site team
  • Manage drawing register MDR/CDL with Engineering Dept
  • Manage document register, support the reviewers with revisions and issue of H&S documentation to client on Sharepoint (H&S documents, CDM plans, etc.)

Qualifications

  • Experience in a similar role is essential
  • Good interpersonal skills
  • Document control experience
  • Innovative, flexible and willing to adapt
  • Ability to influence and persuade
  • Proficient in the Microsoft Office suite and good general IT literacy
  • Excellent communicator both written and verbally
  • Self‑motivated
  • Be able to work to tight deadlines
  • To be able to collaborate across a wide team and gather information
  • Meticulous in data entry and checking quality of output
  • Excellent organisation skills
  • Minute taking, booking meeting rooms, hot desks and managing diaries of senior management
  • Pro‑active and quick learner
