Location: Westbourne, Poole

Job Type: Full-time / Part-time / Permanent (flexible for the right candidate)

Working Hours: 8:30am – 5:00pm, Monday to Friday (flexibility required to support business needs)

About the Role

JOLP is a growing architectural practice based in Westbourne, Poole. We are seeking a highly organised and proactive Office Manager to support the day-to-day running of the practice and play a key role in its continued rowth.

This is a central position within the business, requiring someone who can manage operations, support project delivery, is a professional point of contact for clients, consultants, and suppliers. The role offers genuine opportunity to develop, improve systms, and contribute to the overall success of the practice.

Key Responsibilities

Practice Operations

  • Oversee the smooth day-to-day running of the practice
  • Act as a central coordination point for the team
  • Manage team diaries, meetings, and key project deadlines
  • Maintain digital filing systems, project folders, and shared drives (Dropbox experience desirable)
  • Maintain practice templates, documentation systems, and internal processes
  • Manage office resources, software subscriptions, and general administration
  • Provide support to the design team as required

Project Coordination

  • Support the design team across projects at various stages
  • Maintain project documentation, schedules, and records
  • Assist with preparing presentations, reports, and meeting notes
  • Track project timelines and support internal workflow coordination
  • Assist with preparation of tender package and project information
  • Support planning and building regulation submissions
  • Act as the first point of contact for clients, consultants, and collaborators
  • Coordinate meetings, site visits and project communications
  • Liaise with suppliers to obtain quotes, information, and availability
  • Assist with invoicing, fee tracking, and timesheet records
  • Support quotations and procurement processesTrack ordrs and maintain accurate records
  • Maintain CRM systems and general practice data

Marketing & Communications

  • Support marketing activity including website updates and social media
  • Assist with project photography, awards submissions, and publications
  • Support occassional studio event and business development initiatives

Skill, Experience and Attributes

  • Previous experince in an Office Manager or similar role
  • Excellent organisational and communication skills
  • Strong attention to detail and ability to manage multiple priorities
  • Confident in dealing with clients, contractors, and suppliers
  • Professional telephone manner and client-facing confidence
  • Proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
  • Ability to work independently and take ownership of responsibilities

Preferred

  • Experience within an architectural, construction, planning, or creative practice
  • Familiarity with planning and building regulations processes
  • Experiene using CRM systems or project coordination tools
  • Knowledge of Dropbox or similar document management systems
  • Familiarity with Adobe Creative Suite (e.g. Photoshop)
  • Interest in architecture, construction, or business development
