The Neonatal Community Outreach Team (NCOT) supports babies and their families to enable an earlier discharge home from hospital. NCOT provides support across the Local Maternity and Neonatal System (LMNS). The team is based and hosted by UHCW, but works across George Eliot and South Warwickshire NHS Foundation Trust providing specialist community care for babies and their families.
An exciting opportunity has arisen for an administrator to join the team to support with clerical duties.
Position type: 12‑month maternity cover.
Working hours: Monday, Wednesday and Friday, 11:00 am–6:00 pm, including a 30‑minute break.
Key Responsibilities
The post holder will provide direct administrative support to the Neonatal Community Outreach Team (NCOT), part of the Women & Children’s Clinical Group. The post holder will support the Senior Neonatal Outreach Administrator and the Neonatal Community Outreach Team in their administrative duties including managing diaries and appointments, arranging and attending meetings, taking effective minutes/action notes, supporting data collation and the administrative side of the Neonatal Community Outreach Service. They will be expected to provide a high quality, broad range of administrative and secretarial duties to enable the effective delivery of the service; providing a confidential, efficient and responsive work ethic in accordance with Trust and Departmental guidelines, policies and procedures.
- Provide comprehensive administrative support to the Neonatal Community Outreach Team to ensure the smooth performance of their clinical duties; providing admin support across Coventry & Warwickshire.
- Act as first point of contact for parents/carers and team members, using initiative to resolve enquiries in a professional manner, providing accurate information or redirecting calls as appropriate to ensure they are responded to in a timely and effective manner.
- Process confidential patient-sensitive documentation: responding to team members requests to compose, type and print correspondence as necessary.
- Arrange and provide assistance at service meetings, preparing and circulating agendas and papers for meetings, booking venues, taking and typing accurate notes and distributing minutes of meetings.
- Monitor community appointments, arrange interpreters, update diaries/calendars and accurately input patient data; ensuring details are securely shared with Trust Neonatal Staff or System Community Teams as appropriate.
- Support the Senior Neonatal Outreach Administrator in maintaining and updating databases to monitor Neonatal Community Outreach Service activity.
The Neonatal Community Outreach Service operates 7 days a week between the hours of 08:00-18:00. The post holder will be based at UHCW, however may occasionally be asked to travel to the other sites. Weekend working may be required.
