- Working Hours: Full time, hybrid – 38.5 hours per week (Mon-Thu 8am – 5pm, Fri 8am – 3pm)
- Position Summary: Responsible for the preparation and administration of Kingston’s commercial contracts and for supporting key compliance functions. The post holder plays a central role in export control compliance and anti-bribery governance, while also assisting with anti counterfeit activity, data protection administration and general compliance enquiries.
Essential Functions
Contract Administration
- Administer customer contracts from initial drafting through to signature.
- Maintain and develop the contracts database.
- Manage the contract negotiation process, referring complex legal or commercial matters to the line manager or VP Sales & Marketing where appropriate.
Export Control and Trade Compliance
- Review and assess restricted party screening matches and elevate potential concerns where necessary.
- Coordinate the annual customer export compliance declarations process.
- Coordinate product classification under UK export control regulations, ensuring accurate and up-to-date classifications are maintained.
- Assist with preparation of compliance declarations such as ECCN, country of origin, dual use statements, etc.
Anti-Bribery Governance
- Serve as Chair of the Bribery Committee.
- Monitor and present developments, trends, and regulatory changes in anti-bribery compliance to the Committee.
- Maintain and update the company’s anti-bribery and corruption risk assessment.
- Lead and host the annual Bribery Committee meeting.
- Manage referrals to the Bribery Committee, ensuring matters are logged, reviewed and progressed appropriately.
- Maintain the gifts and hospitality register, ensuring accurate and timely recordkeeping and appropriate approvals.
General Compliance
- Respond to compliance related enquiries and prepare statements of compliance as required.
- Undertake compliance related projects and investigations as required.
- Provide training on contractual and compliance matters, including use of the contracts database.
Anti-Counterfeit Responsibilities
- Prepare and manage documentation relating to anti-counterfeit matters, including materials required for external actions and customer support.
- Liaise with external providers of anti-counterfeit services.
Data Protection Responsibilities
- Provide administrative support for the company’s compliance with applicable data protection regulations.
- Assist with maintaining records, logs and documentation required for data protection purposes.

Education / Qualifications
Minimum Criteria
- Educated to A Level or equivalent.
Desirable
- Bachelor’s degree or equivalent.
Experience / Knowledge
Minimum Criteria
- Working knowledge of Excel, Word, and email.
- Ability to research and grasp complex issues, ability to act on own initiative.
Skills / Behaviours
- Excellent written English.
- Aptitude for detailed administrative work.
- Good organisational skills, ability to liaise with a range of people, including senior level colleagues and customers.
- Proactive, flexible, diplomatic and the ability to work on own initiative as well as cooperate in a team environment is essential.
