Job Summary

To provide a comprehensive Outpatient Administration and Main Reception service to the Ilkeston site supporting University Hospitals of Derby and Burton and Derbyshire Community Health Services.

To provide a 7‑day rostered service to the Community Diagnostic Centre which will include MRI, CT, Ultrasound and Point‑Of‑Care testing.

To provide administrative support to the Health Records Department.

This involves working closely and communicating effectively with a multidisciplinary team using initiative, tact and diplomacy.

We have an opportunity for 25.5‑hour posts. This will be a 7 am to 7 pm service.

Flexibility will be paramount to this role and for the right candidate we can offer full‑day or split shifts.

You will be joining an already established team who put patient care and outcomes at the heart of everything they do.

This role will require the successful candidate to occasionally work across our local community sites.

Main Duties of the Job

  • Organise work on own initiative to meet deadlines and maintain standards.
  • Record data using Lorenzo, SystmOne and the room booking software.
  • Record and update case‑note folder location details on the case‑note tracking system.
  • Prepare case notes in accordance with the policy and ready items for scanning onto the Patient Administration System (PAS) ensuring proper coding for easy retrieval.
  • Provide a courteous and efficient reception service to all patients attending, observing confidentiality and overcoming barriers of language and disability.
  • Make follow‑up appointments for outpatients using the PAS, generate letters, and complete Outpatient Outcomes and Clinical Coding outcomes on the database for Trust data collection.
  • Ensure the 18‑week RTT (referral to treatment) end date is captured on PAS so the Trust meets government targets.
  • Provide friendly, helpful and professional reception service, including cash handling and banking, receipt and distribution of incoming mail, franking and posting.

Qualifications

  • Good standard of education in English (O Level, GCSE).
  • NVQ 2 in Customer Service or equivalent knowledge and skills.

Skills

  • Experience making and receiving telephone calls; being a point of contact for customers/patients.
  • Standard level of IT literacy.

Experience

  • Understanding of 18‑week RTT process and knowledge of the Trust Patient Access Policy.
  • Understanding of the Data Protection Act and Caldicott principles.
  • Experience working independently and as part of a team.
