Job Description
As the Office Manager, you will provide comprehensive administrative and executive support to the RAF Menwith Hill leadership, including the Director, Deputy Director, and Chiefs of Staff. Your primary responsibility is to ensure the smooth operation of the front office by managing official calendars, coordinating meetings and conferences, and serving as a key point of contact for all internal and external inquiries. This includes managing correspondence, screening telephone calls and visitors, and providing logistical support for VIP visits, protocol events, and video teleconferences.
In this role, you will use a variety of office software to produce, edit, and format a wide range of documents, reports, and spreadsheets, often incorporating complex elements like graphics and tables. You will also be responsible for maintaining the common work area, supporting official awards and recognition programs, and performing all necessary clerical duties to ensure the leadership team can effectively execute the mission.
Qualifications and Key Skills
UK valid driver’s license is required, plus, either;
- Master’s degree in an associated discipline and experience in related field, OR
- One years specialized experience demonstrating the key skills listed below.

- Knowledge of extensive rules, procedures, or operations applied to secretarial and clerical assignments to perform the procedural and administrative work of the office, such as preparing and editing documents, maintaining files/records, making and preparing travel arrangements, locating, assembling and composing information for various reports, inquiries, and nontechnical correspondence.
- Knowledge of office functions and commitments of supervisor and staff to prepare and review correspondence, to screen telephone calls and visitors, to maintain senior leaders’ calendars, and to perform other substantive or administrative work of the organization.
- Knowledge of correct grammar, spelling, punctuation, capitalization, and format to accurately prepare and edit written correspondence and reports.
- Knowledge of various office automation software programs, tools, and techniques to support office operations and produce a variety of documents such as letters, reports, spreadsheets, databases, and graphs.
- Ability to communicate effectively, both orally and in writing with working partners and senior leaders locally and at headquarters; negotiate complex issues; and maintain good working relationships.
- Skill in managing complex schedules and coordinating logistics.
- Skill in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), SharePoint, and other relevant software applications.
Conditions of Employment
- You will be required to handle and safeguard sensitive information in accordance with applicable US and UK laws, rules and regulations. This position may also be coded as mission essential.
- You may be required to travel by military and/or civilian aircraft, and you may also be required to travel to the US or other country, in the performance of official duties or attend necessary training.
- You will be required to complete a 6-month probationary period.
- Start & end times may be modified due to mission needs and in accordance with organization’s flexible working policies. Overtime may be required and you may be assigned other duties not included in this position description, but that are appropriate to the grade and skill set of the incumbent.
- You must be able to communicate effectively both orally and in writing.
- You must obtain and maintain the appropriate enhanced security clearance.
- While the Local National Direct Hire (LNDH) Program doesn’t include regular drug testing, you may be tested if there’s reasonable suspicion of substance abuse or following a safety incident.
- Experience working with senior management is a plus, but not a requirement for this role.
