Overview

A leading Real Estate business in London seek an experienced Legal PA to join their Legal & Company Secretarial team, on a full time permanent basis.

The role will provide support to the General Counsel and Co Sec team.

Hybrid: 4/1

Hours: 9-5.30

Responsibilities

  • Provide comprehensive administrative and secretarial support, including document preparation such as presentations, correspondence, spreadsheets, organisational charts, and electronic documentation, ensuring consistency with internal branding where required.
  • Manage calendars, organise meetings, coordinate travel arrangements, and assist with expense submissions using appropriate systems.
  • Oversee email correspondence on behalf of senior leadership, responding where appropriate, flagging priorities, and ensuring follow-up actions are tracked and completed within deadlines.
  • Support financial administration for the legal function, including handling invoices, raising purchase orders, monitoring budgets, and maintaining accurate financial records.
  • Organise and schedule board and committee meetings by coordinating with stakeholders, managing logistics, and acting as a central contact for related communications.
  • Assist in compiling and distributing meeting materials, maintaining digital board systems, and ensuring accurate records of meetings, attendance, and documentation are retained.
  • Contribute to year-end governance processes, including preparing required declarations and coordinating with external auditors where necessary.
  • Act as a first point of contact for incoming calls and general enquiries, ensuring messages are handled efficiently and directed appropriately.
  • Provide a professional front-of-house presence when welcoming visitors and supporting the wider team as needed.
  • Build and maintain effective working relationships with colleagues and external contacts.
  • Process incoming mail and ensure it is distributed or actioned accordingly.
  • Undertake research tasks and produce summaries or briefing materials as required.
  • Maintain and update shared digital workspaces and document repositories for the team.
  • Support the organisation of team activities, including social and volunteering initiatives.
  • Carry out additional duties as reasonably requested by senior leadership.

Qualifications

  • Demonstrated experience supporting senior executives, ideally within a legal or corporate governance environment.
  • Strong technical proficiency, particularly across Microsoft 365 applications; familiarity with board management systems is beneficial.
  • Proven ability to handle sensitive information with discretion and professionalism.
  • Confident communicator with the ability to engage effectively across all levels and manage competing priorities in a fast-paced environment.
  • High standard of written communication skills.
