Office Administrator / Service Desk Coordinator

About Heat-Plex

Heat-Plex is a fast-growing, premium plumbing, heating and gas company operating across London. We work with private homeowners, landlords and managing agents, delivering high standards of workmanship and customer care.

We are approaching £1.5m+ turnover and are now building a stronger in-house office team to support our next stage of growth.

This is not a quiet reception role. It is a key position at the centre of a busy operations team.

The Role

  • You will be the first point of contact for our customers and engineers.
  • Your role is to keep the diary flowing, ensure communication is clear and professional, and help the business operate efficiently day to day.
  • You will work closely with our Operations Manager and leadership team.

Core Responsibilities

  • Answer all incoming calls professionally and confidently
  • Book jobs accurately into our CRM system
  • Manage customer emails and respond with clear, well-written communication
  • Coordinate engineer diaries and confirm appointments
  • Follow up on quotations and outstanding approvals
  • Support with aftercare and customer satisfaction follow-ups
  • Assist with general office coordination and admin tasks
  • Help maintain high standards of organisation and workflow

You will play a direct role in improving customer experience and helping the company grow.

  • Is highly organised and calm under pressure
  • Can manage multiple tasks without losing detail
  • Is proactive and takes ownership rather than waiting for instruction
  • Enjoys working in a fast-paced environment
  • Wants to grow with a business, not just “do a job”

Previous administrative or service desk experience is preferred.

Experience in trades, property or construction environments is a bonus — but not essential.

Systems

Experience with:

  • Microsoft Office
  • CRM systems (training provided)
  • Scheduling or diary management software
