Job Description:

We are looking to recruit an Administrator to complement our existing team.

We offer competitive rates of pay, NHS Pension and company sickpay. We are looking for someone to work full time across 4 or 5 days.

Main duties of the job

The ideal candidate will be someone who is looking for an opportunity to develop their existing administration skills. Experience in a primary care setting is advantageous but not essential, as is knowledge of EMIS Web and Outlook.

The post holder will be patient focused and driven to provideexceptional levels of care at all times.

They will need tobe able to work effectively in a fast paced environment, responding to changes,whilst remaining calm and methodical. Our clinical workforceconsists of 4 GP Partners/ Directors and 18 Salaried GPs, some of whom workpart-time. We also employ Nurse Practitioners, Practice Pharmacists, Podiatrists, Social Prescribers, Physiotherapists and several practice nurses.

We are an accreditedtraining practice, with GP Registrars, medical students and student nurses.

Job responsibilities

Sorting, scanning, distribution and processing of incoming post according to agreed protocols.

Ensuring that all reports, correspondence and results are filed promptly and accurately.

Ensuring that Docman EDTs are filed and if necessary redistributed to ensure timely action.

Processing incoming electronic test results via the pathology links and ensuring the correct allocation of results to clinicians according to agreed protocols.

Processing of Anima requests received from patients and reallocating correctly to clinicians if necessary.

Dealing with all telephone enquiries into the Admin Department.

Checking and processing administrative tasks (PNs) in a timely manner.

Checking and processing all emails accurately according to agreed protocols.

Processing repeat prescriptions (including manual and EPS scripts) daily in order to meet the 48 hour turnaround for patients.

Processing online patient access requests and responding to patient enquiries in relation to online access.

Daily administration and coding of incoming OOH / UCC and NHS 111 reports in Document Management in EMIS web and reallocating as appropriate.

Daily administration of GP2GP, dealing with Allergy degrades. Medicines / Event degrades are currently automated.

Snomed coding of medical information / data into the practice clinical system accurately.

Management of Registration Workflow including administration of patient amendments / deductions via the GP Links, return of medical records to the PCSE and resolving duplicates. Processing new patient registrations when necessary.

Accurate receipt and processing of incoming paper records. Liaising with PCSE as required.

Liaising with Notespace / Oasis to ensure the accurate transfer of medical records to and from offsite storage.

Dealing with all requests for medical records from patients, solicitors, third parties and subject access requests as per practice protocol.

EMIS Appointment book daily back-up duties for Business Continuity.

Managing the DNA procedure and sending patient warning letters as appropriate.

Person Specification

Qualifications

  • A good standard of education with an expectation of having GCSE Maths and English at Grade C or above or equivalent
  • Competent in the use of MS Office and Outlook
